- Lead and complete organization of national and international congresses launch meeting and company cycle meetings in accordance with the plans of AbbVie Turkeys commercial and other business units.
- Manage all event management processes in line with AbbVie local and global policies Ministry of Health regulations AIFD codes and Promotion Regulation provisions.
- Manage the entire event management recording and archiving infrastructure through effective use of the Veeva system.
- Support the compliance finance procurement and commercial units with reporting and to develop projects in event management aligned with product cost-saving goals.
- Monitor contracted travel agencies and ensure AbbVie rules and policies are implemented.
- Create hotel lists for business travels of AbbVie employees in accordance with agreements and to share the lists with relevant employees.
- Support compliance finance and commercial units during audit processes.
- Fulfill financial requirements by creating event-related purchase orders in the SAP system before events.
- Monitor and manage all reconciliation processes after events obtain invoices and deliver all invoices to the finance department on time.
- Oversee the control of outsourced services received by AbbVie Turkey ensure coordination between AbbVie stakeholders and external providers and collect feedback to improve service standards.
- Lead the automation project used for Transfer of Value reporting ensuring data integrity in the database.
- Record and archive all important documents such as internal and external correspondences proposals approvals contracts invoices and participant lists.
- Keep records and retain documents related to congress participation and hotel reservation invoices/payments and to track expenses.
- Achieve Key Performance Indicators (KPIs) within the scope of responsibility in line with Class A requirements and to ensure the continuity of achieved targets.
- Ensure workplace data accuracy in all records and reporting related to areas of responsibility and tasks in accordance with Class A requirements.
Qualifications :
Having Bachelors Degree
Minimum 5 years of experience in a similar position preferably in a pharmaceutical company
Excellent written and verbal communications skills both in Turkish and English
Good command of MS Office programs (Word Excel PowerPoint)
Having outstanding presentation planning and organizational skills combined with a strong capability in stakeholder management
Having excellent communication skills
Demonstrated ability to effectively solve complex problems through strong stress management skills.
