THE OPPORTUNITY
The Distribution Center Logistics Administrator is responsible for overseeing and coordinating all administrative functions at the Broadway Distribution Center. This role works closely with the Logistics Director and Warehouse Manager to support daily office operations related to inbound and outbound shipping activities ensuring accuracy efficiency and compliance with company procedures.
WHAT YOU WILL BE DOING:
Shipping & Documentation Accuracy
Own the creation review and management of all outbound shipping documents (BOLs pick tickets freight bills)
Ensure all shipment paperwork is complete accurate and compliant before loads leave the facility
Process and post shipments in ERP systems and maintain digital records
Carrier Coordination & Dock Operations
Serve as the primary point of contact for inbound and outbound carriers
Verify carrier/load information and manage check-in/check-out processes
Coordinate dock assignments in partnership with warehouse/union staff
Schedule pickups and communicate with carriers as directed
ERP System & Order Management
Enter update and process customer orders accurately in ERP systems
Generate inventory and shipment reports
Maintain data integrity across systems (orders shipments inventory)
Financial & Billing Support
Calculate and document additional shipment-related charges
Ensure accurate information is provided for customer invoicing
Support proper freight billing processes
Inventory Support Assist with cycle counts and annual physical inventory
Help ensure alignment between system inventory and physical stock
Cross-Functional Coordination
Partner closely with Logistics Director Warehouse Manager and Customer Service
Adjust scheduled loads and respond to operational changes in real time
Act as the administrative hub connecting shipping warehouse and customer-facing teams
General Administrative Operations
Maintain organized records (digital and paperless systems)
Support daily office operations within the distribution center
Handle additional administrative tasks as needed
WHO WE ARE LOOKIG FOR:
- High School Diploma
- 3-5 years office administration experience
- Proficiency in Microsoft Office Suite (Word Excel Outlook).
- Experience with Enterprise Resource Planning (ERP) systems preferred (Epicor experience a plus).
- Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities.
- Demonstrated problem-solving skills with the ability to assess situations develop solutions and implement effective plans.
- Type of Equipment Operated: Includes frequently used office equipment computer software programs Microsoft Excel Word and Outlook SAP copier/printer. Office Equipment: Computer Copier Fax machine.
