OC Job Title: Talent Operations Analyst

Purpose:

Handles day-to-day operations reporting data analysis and vendor support for the full talent acquisition lifecycle.

Position Summary:

The Talent Operations Analyst plays a critical role in optimizing talent acquisition and HR processes through data analysis system management vendor coordination and operational support. This role ensures the smooth functioning of recruiting operations supports strategic initiatives and provides actionable insights to improve efficiency and effectiveness across the talent lifecycle. It is ideal for someone who thrives in a fast-paced environment enjoys optimizing processes and has a passion for training strategic thinking and vendor relationship management.

Key Responsibilities:

Data & Analytics

  • Collect analyze and report on key talent metrics (e.g. time-to-fill cost-per-hire pipeline health).
  • Build and maintain dashboards to support recruiting and HR decision-making.
  • Identify trends and opportunities for process improvement.

Process Optimization

  • Document and streamline recruiting workflows and operational procedures.
  • Support continuous improvement initiatives across talent operations.
  • Assist in change management and implementation of new processes.

Systems & Tools

  • Administer and optimize Applicant Tracking Systems (ATS) and other HR technologies.
  • Troubleshoot system issues and liaise with vendors or IT teams.
  • Ensure data integrity and compliance with internal policies and external regulations.

Vendor Management & Screening Support

  • Manage relationships with temp labor background and drug screening vendors ensuring service quality and compliance.
  • Monitor vendor performance and escalate issues as needed.
  • Provide day-to-day support for background and drug screening processes including troubleshooting candidate communication and coordination with recruiters and vendors.

Project Support

  • Collaborate on cross-functional projects related to talent acquisition onboarding and workforce planning.
  • Track project milestones and deliverables.
  • Prepare presentations and reports for leadership.

Stakeholder Collaboration

  • Partner with recruiters HR business partners and hiring managers to understand operational needs.
  • Provide training and support on systems and processes.
  • Monitor and respond to the Talent Acquisition Mailbox and Chatbot requests in a timely manner.

Qualifications:

  • Bachelor s degree in Human Resources Business Analytics or related field.
  • 3 years of experience in HR recruiting operations or data analytics.
  • Proficiency in Excel Google Sheets and data visualization tools (e.g. Power BI Tableau).
  • Experience with ATS and HRIS platforms (e.g. Workday Greenhouse Lever).
  • Strong analytical organizational and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.

Preferred Qualifications:

  • Experience managing third-party vendors especially in background and drug screening.
  • Knowledge of compliance and data privacy regulations (e.g. GDPR EEOC).
  • Ability to think strategically and contribute ideas to improve talent operations processes and employee experience.
  • Strong organizational skills with attention to detail and the ability to manage multiple priorities effectively.
  • Demonstrated initiative in identifying process inefficiencies and proposing practical solutions.
