Position Summary
The Surgery Scheduler supports orthopedic spine and interventional pain practices by coordinating all aspects of procedural and surgical scheduling. This role ensures that operating rooms procedure suites surgeons pain physicians and support staff are scheduled accurately and efficiently. The Scheduler manages highâcomplexity schedules specialtyâspecific equipment needs and payer authorization requirements while delivering outstanding service to patients and referring practices.
Key Responsibilities
Patient & Provider Coordination
- Coordinates surgical and interventional pain procedures including joint replacements arthroscopies spine fusions injections and minimally invasive procedures.
- Confirms surgeon and provider availability and aligns cases with facility block time.
- Communicates patient instructions preâop requirements and specialtyâspecific prep needs (e.g. imaging
- conservative treatment documentation).
Communication & Service Excellence
- Serves as the primary liaison between orthopedic/spine/pain providers ASC and hospital staff imaging centers and referring offices.
- Communicates schedule changes addâon procedures implant/vendor needs and special patient considerations.
- Provides clear compassionate communication to patients and families throughout the scheduling process.
Scheduling Accuracy & Documentation
- Enters cases into scheduling systems with complete clinical details CPT codes ICDâ10 diagnoses anesthesia needs and equipment requirements.
- Ensures preâauthorization or medical necessity documentation is completed for orthopedic and pain procedures.
- Maintains block schedules utilization reports and specialtyâspecific performance metrics.
Quality & Compliance
- Ensures all scheduling follows practice protocols regulatory guidelines and payer rules.
- Participates in quality improvement for surgical and pain procedure scheduling workflows.
- Maintains confidentiality and adheres to HIPAA standards.
Operational & Financial Stewardship
- Supports efficient OR and procedure-room utilization.
- Identifies opportunities to streamline scheduling workflows for highâvolume orthopedic and pain practices.
- Helps minimize overtime and optimize resource allocation.
Qualifications
- High school diploma or equivalent required; healthcare or surgical scheduling experience highly preferred.
- Prior experience in orthopedics spine or pain management strongly preferred.
- Understanding of common orthopedic and pain CPT codes implants and procedure workflows.
- Exceptional communication skills with strong attention to detail.
- Computer proficiency and comfort with EMR/EHR systems.
Physical & Work Environment Requirements
- Light physical activity; frequent sitting standing and computer work.
- Ability to handle fast-paced specialty clinics with high call volumes.
- May require extended hours based on surgical needs.
