Position Summary
The Program and Administrative Coordinator is responsible for coordinating youth-focused programs and activities while also working effectively within large group settings. This role coordinates and supports all Youth Services events providing direct supervision for After School and Open Gym programs. The Program and Administrative Coordinator plays a key role in planning and supporting seasonal and special events including Summer Youth Camp Spring Break Camp Harvest and Holiday celebrations Graduation Ceremonies Festival of the River activities and other educational opportunities. Responsibilities include supervising and scheduling program volunteers overseeing daily Youth Services operations maintaining accurate records and reports and ensuring the proper care and upkeep of program equipment and facilities. The position also requires building strong collaborative relationships across departments and providing administrative support to the Youth Services Department.
Essential Duties and Responsibilities
Communicate with Youth Services supervisor and co-workers to determine the needs and wants of the department.
Perform administrative duties such as but not limited to entering and filing invoices maintaining electronic student records maintaining and tracking department equipment.
Must demonstrate skills in coordinating: i.e. budget planning development and implementation of policies and procedures and drafting standard operating procedures.
Development of calendars and flyers for the youth programs.
Coordinate with the communications department to ensure the timely release of Youth Services calendars flyers notices
Coordinate Youth Services events
Coordinate Before and After school program
Enter invoices to invoicing system.
Maintain provide and demonstrate cultural sensitivity and awareness.
Work efficiently and effectively to complete all tasks.
Ordering supplies for the youth services department.
Additional Functions
Other tasks may include drafting schedules instructing activities and coming up with ideas relevant to age group and gender of youth they are working with.
Maintain confidentiality at all times.
Supervisory Responsibilities
Will supervise volunteers who participate in events and/or activities and children of the Stillaguamish Tribe of Indians.

Position Qualifications
Some accounting experience preferred.
High School diploma or GED equivalent required.
Previous experience working in youth programs required.
Associates degree in related field preferred.
A minimum of 1 year of customer service experience.
A minimum of 1 year of experience of office administration.
Must be CPR and First Aid Certified. Will train on-the-job.
Must possess a current Food Handlers Permit. Will acquire on-the-job.
Must be able to work in a culturally diverse environment.
Prior experience working with children in an educational setting is preferred.
Must have strong work history and attendance.
Must be able to work a flexible schedule that may include evenings and weekend assignments.
Must meet coverage criteria according to the Tribes vehicle liability insurance.
Must obtain NARCARN training.
Must obtain Blood Borne Pathogen training.
Must be able to pass a thorough background check and possess a valid Washington drivers license.
Travel Requirements
Local travel is frequently required. Travel outside of the state may be required.
