Job Summary
Duties & Responsibilities
Account & Financial Administration
- Capture verify and process invoices delivery notes and purchase orders accurately.
- Ensure invoices are authorised and suppliers are paid timeously.
- Liaise with Procurement vendors and internal stakeholders to resolve queries and discrepancies.
- Maintain accurate vendor purchase order and payment records.
- Escalate unresolved issues to Project Managers or Line Management when required.
Administrative Support
- Provide effective day-to-day administrative support to ensure uninterrupted workflow.
- Manage sensitive information and reports in line with confidentiality requirements.
- Communicate regularly with internal teams customers and suppliers.
- Identify and support process improvements to enhance efficiency and turnaround times.
- Customer Service & Reporting Respond to and resolve customer and supplier queries promptly.
- Prepare weekly and monthly project reports statistics and presentations as required.
- Maintain professional supplier relationships and manage conflict constructively.
Compliance & Additional Duties
- Adhere to DSFM SHEQ policies procedures and quality standards.
- Perform additional tasks as required to support operational sustainability.
- Take accountability for own performance and professional conduct.
