  • JOB TITLE: Administrative Assistant - Student Support Services & Information Management Systems

    REPORTS TO: Assistant Superintendent of Schools

    FLSA STATUS: Exempt Salary

    STATUS: Full Time typically 40 hours/week; 12-month contract wage established by Board of Directors

    BASIC FUNCTION:To provide administrative support services to the Assistant Superintendent Director of Technology and District Office Administrative Team to further the aims objectives and mission of the school district and to carry out the duties assigned by the Assistant Superintendent and/or Director of Technology to ensure the smooth and efficient operation of student support services and the district office. This position will perform high-level administrative support with minimal direction and supervision in an effective efficient confidential and trustworthy manner and lead the building secretarial district administrative and counseling department support staff by overseeing all student enrollment across the district.

    EVALUATION: The Assistant Superintendent annually evaluates based on job performance.

    JOB SPECIFICATIONS/QUALIFICATIONS:

    • High School Diploma or Equivalent. Post-secondary hours in a related field are preferred.
    • Strong clerical and technological skills.
    • Advanced knowledge level of Google and/or Microsoft Office Suite including but not limited to pivot tables graphs/charts data analysis and database management.
    • Ability to interpret analyze and assess technical requirements of various educationally based software and systems and provide recommendations for integration with current systems.
    • Strong communication and organization skills and the ability to interact effectively with faculty staff students community and vendors.
    • Ability to prioritize organize and maintain attention to detail to effectively assist with multiple projects at the same time.
    • Maintain a positive attitude and flexibility in daily work tasks.
    • Experience in Iowa PK-12 school district operations preferred
    • Knowledge of special education compliance and IEP processes preferred
    • Project management experience
    • Training or certification in educational technology or data management preferred

    GENERAL RESPONSIBILITIES:

    1. Adhere to applicable state and federal laws rules and regulations board policies and administrative rules.
    2. Demonstrate organization and professionalism in fulfilling the responsibilities of the position.
    3. Maintain a service orientation and treat all students parents staff and visitors with professional courtesy.
    4. Demonstrate a positive attitude toward school students and the job and convey that attitude to the community.
    5. Contribute as a collaborative member of the District Office Team.
    6. Attend professional learning opportunities as needed to stay current with state and federal regulations and requirements.
    7. Dress appropriately for the position and work required.
    8. Accept constructive feedback and suggestions while seeking to improve performance.
    9. Maintain professionalism and confidentiality with student records and school operations.

    ESSENTIAL FUNCTIONS

    1. Compile prepare review and analyze data of student information district data systems and district networks to present to district leaders as needed.
    2. Coordinate documentation with administrators for State and Federal reports for student services such as Fall Winter and Spring Student Reporting in Iowa (SRI) Special Education Count and Certified Enrollment.
    3. Serve as the districts PowerSchool contact. Work collaboratively with all buildings and the Assistant Superintendent on the PowerSchool rollover and annual setup and train building office staff in PowerSchool and district enrollment updates.
    4. Support online setup for assessment and online tools for student use at the direction of the Assistant Superintendent.
    5. Maintain rostering of all educational applications at the direction of the Assistant Superintendent and Director of Technology.
    6. Maintain vendor relationships to support educational technical and student information systems.
    7. Support Assistant Superintendent with special education rostering by performing district look-up reviewing reports and reviewing tuition in/tuition out of students with other various school districts.
    8. Maintain records issue and retrieve expired key cards for all automated doors in the district.
    9. Answer phone and serve as the secondary receptionist for the District Office.
    10. Collaborate as a member of the district technology team.
    11. Maintain district device database
    12. Review all technology asset repairs and process insurance claim submissions while working with the Director of Technology.
    13. Assist in preparations management and monthly Medicaid billing for students. Complete required monthly state reporting
    14. Assist and support other office areas in the absence of co-workers.
    15. Review maintain and organize annual student registration student records and all student information in a district registrar capacity for all students in all attendance centers.

    PHYSICAL REQUIREMENTS:

    1. Able to answer and communicate over the telephone in a clear calm precise voice.
    2. Able to write and record reports utilizing basic computer functions.
    3. Able to sit reach carry push bend body atthewaist bend both knees twist and stoop while handling items.
    4. Able to read and interpret policies procedures andtheemployee handbook.
    5. Occasionally lift up to 50 pounds using proper lifting techniques.

    WORKING CONDITIONS:

    1. The primary work setting is the District Administration Office but duties may at times require working within the districts various attendance centers.
    2. May be required to drive school vehicles to carry out the responsibilities of the position.
    3. May be required to work additional hours as required during certain times of the year.
