Exceptional Childrens Bookkeeper
Job Description
Position: Bookkeeper forExceptional Childrens Department
Reports to: Director of Accountability and Exceptional Children
Terms of Employment: 12 months full time
Pay Grade: 66
FLSA Status: Non-exempt
Nature of Work
This position is responsible for managing the multiple program resources from state federal and grant funders. The bookkeeping duties require financial status reports and the processing monitoring and reconciling of all the programs financial transactions.
Certification and Licensure Requirements (if applicable):
Education and Experience
- High school diploma or equivalent with coursework in bookkeeping or a related field
- At least 2 years experience in bookkeeping accounting and clerical work
Knowledge Skills and Abilities
- Working knowledge of office practices and general office equipment
- Working knowledge of basic bookkeeping
- Considerable knowledge of computer operations to include Google Drive Microsoft Excel and Word
- Ability to effectively organize schedule and maintain all functions of the work environment
Essential Functions and Responsibilities
- Prepare and submit program budgets
- Prepare and implement all annual program budgets for each funding source
- Input all expenditures and encumbrances to the correct funding source
- Reconcile and balance ledgers report for accuracy
- Maintain asset inventory and disposition of equipment
- Enter monthly payroll for all program employees
- Enter EC office staff requested leave in the absence reporting system for approval
- Submit all monthly travel reports
- Input all purchase orders for approval track purchase orders and check-in purchases when delivered
- Close out and reconcile all fiscal year budgets in June and determine carry-over funds
- Assists in preparing fiscal sections of grant applications/special grants
- Compiles data needed for mid-year and end of year special grants
- Prepares time and effort verification forms for employees/Proportionate Share
- Maintains Medicaid reimbursement system
- Prepares contracts
- Prepare for audits
- Perform other duties as assigned
Knowledge Skills and Abilities
Communication interpersonal organizational basic spreadsheet word processing microcomputer customer service secretarial math and basic accounting skills. Operating knowledge of and experience with microcomputers general office equipment and computer software including Microsoft Excel and Word. Operating knowledge of district-designated work order system and student information system required within 1 month after hire. English language skills required.
Physical Requirements
While performing the duties of this job the employee is regularly required to use hands to finger handle or feel; reach with hands and arms; and talk or hear. The employee is frequently required to stand walk and sit. The employee is occasionally required to climb or balance and stoop kneel crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision distance vision color vision peripheral vision depth perception and ability to adjust focus.
