Position Overview
The Director of Operations is an on-site leadership role responsible for the day-to-day operational health of Innova Girls Academy Charter School. Working in close partnership with the Head of School the Director of Operations ensures that students families staff and the broader school community are supported through strong systems clear communications and a safe and well-managed school environment. This role requires a hands-on relationship-centered leader who thrives in a dynamic school setting.
Key Responsibilities
Budget and Financial Management
Lead manage and allocate school resources including financial resources in alignment with school values and board-approved financial policies and procedures.
Create purchase orders track shipments and follow up on administrative needs with vendors including ordering receipt and maintenance of supplies.
Evaluate vendor contracts and engage in new vendor relations to support the Innova mission in alignment with the school budget.
Student Recruitment and Admissions
Implement policies and procedures for lottery admissions enrollment and waitlist processes and maintain all associated documentation in support of the Head of School.
Lead community outreach and engagement efforts.
Develop and implement a strategic plan for student recruitment to annually meet enrollment targets with an increased focus on recruitment of Special Populations.
Information Data and Records Management
Supervise the Office Manager to ensure maintenance of accurate complete and organized files including attendance records for every student and staff member.
Ensure effective delivery of bi-annual family and staff surveys and provide actionable data reports.
Track and address chronic absenteeism to maintain a 90% school-wide attendance rate in conjunction with the Student Support Team; supervise staff to follow up with families when students are absent.
Ensure record keeping systems and processes are secure and maintain strict confidentiality of personal student and staff records and data.
Lead the annual review process for the School Safety Plan.
Talent and Human Resources
Lead the development and implementation of and compliance with human resources policies and practices including compensation structures and benefit plans.
Conduct performance evaluations for all employees supervised by the Director of Operations.
Collaborate with the Head of School to co-manage training and retention of all staff members including salary contract and benefit orientations.
Manage PTO tracking and daily staff coverage plans.
Plan and implement regular staff culture celebrations.
Community Engagement Communications and Partnerships
Coordinate in-person opportunities for stakeholders to advocate for Innova and share the schools vision with the Rochester community.
Serve as spokesperson for the school to both internal and external constituents on all operational topics.
Coordinate all school mailings; draft edit and translate documents as needed.
Lead school-wide communications including the weekly family newsletter and memos for families and staff.
Develop the school calendar and manage school closures as needed.
Plan and run monthly family engagement events.
Facilities and Food Service Management
Ensure school facilities meet school needs and are in compliance with all local state and federal regulations.
Ensure a safe and secure physical environment in and for accessing the school.
Ensure food services meet school needs and are in compliance with all local state and federal regulations.
Manage and annually evaluate school facilities and food service vendor/partners.
Coordinate with the school custodial partner to ensure the school is kept clean and all facilities are operational.
General Operations
Supervise and support the Office Receptionist in operational duties including inventory and distribution of supplies.
Support the Head of School in leading staff development and administrative meetings particularly on school policies procedures and operations.
Ensure the school complies with all applicable local state and federal laws regulations and provisions of the charter.
Serve as the authorizer liaison on all operational issues.
Participate in professional growth opportunities to maintain awareness of educational trends management concepts community involvement and other leadership initiatives.
Manage school technology partners to ensure operational technology systems in the building (computers projectors WiFi security systems etc.) are functioning effectively.
Qualifications :
Bachelors degree required; Masters degree in education administration business public administration or a related field preferred.
Minimum of 35 years of experience in school or nonprofit operations administration or a related field.
Demonstrated experience managing budgets HR functions and compliance requirements.
Strong communication and relationship-building skills with diverse stakeholders.
Knowledge of New York State education regulations and charter school requirements preferred.
Highly organized detail-oriented and able to manage multiple priorities in a fast-paced environment.
