Job Description Summary
The Associate Director of Sponsored Programs reports directly to the Director of Sponsored Programs and works closely with members of the Foundation team; and is responsible for post-award administration of awarded grants and contracts through close-out.
Duties
1. Serves as the primary point of contact for principal investigators (PIs) and project directors (PDs) for post-award support and administration. Leads and coordinates the post-award support team and post-award functions including grant kick-off meetings to ensure all project stakeholders clearly understand the scope of work terms and conditions budget requirements roles and responsibilities reporting expectations and compliance obligations at the start of each funded project. Provides effective day-to-day management of all college grant-funded projects including monitoring deliverables tracking budgets overseeing evaluation activities providing training generating compliance reports technical assistance and assisting grant project personnel with workload needs as appropriate. 2. Ensures that all financial and procurement activities on sponsored programs are in compliance with applicable federal state and sponsor applicable rules and regulations. Ensures grant documentation is accurate accessible and stored in the Colleges grants management system; coordinates the dissemination of contract terms budget codes and implementation procedures and establishes monitoring and reporting protocols aligned with sponsor requirements. 3. Develops and reviews grant agreement contracts and makes recommendations to the Director of Sponsored Programs for signature and/or edits. Works with the Director of Sponsored Programs to develop and implement college policies guidelines standards procedures and communication systems to provide internal controls over award activities and expenditures to ensure compliance. Provides guidance during proposal development to ensure that proposed grant terms budgets and activities comply with institutional policies sponsor requirements and applicable regulations. Reviews proposals for potential compliance risks and alignment with contractual obligations. 4. Researches and analyzes existing emerging and new legislation and regulatory requirements of various government funding agencies to ensure A-B Techs compliance with requirements governing grant-funded projects. Leads efforts to identify best practices as well as gaps and inefficiencies in A-B Techs grants administration to ensure a high standard across the organization. 5. Develops and maintains a Sponsored Programs SharePoint site to provide the campus community and stakeholders with centralized access to information about Sponsored Programs including roles and responsibilities key steps in the grant development process resources policies procedures and guidance to support effective grant management and compliance. 6. Conducts assessment and monitoring of partnership/subcontractor/sub-recipient agreement goals progress and compliance; Leads the colleges efforts in preparing for and responding to agency monitoring visits external audits or other cross-site evaluations requiring a review of project documentation and practices. Ensures on-time and accurate submission grant reports. Develops and updates grant management and compliance reports to senior leadership. 7. Working with the Director of Sponsored Programs and the Executive Director of College Advancement develops and maintains relationships within the A-B Tech community with external sponsors both federal and non-federal and federal and with other key stakeholders as required. Represents and speaks on behalf of Sponsored Programs to internal and external audiences at meetings and events as required. 8. Contributes to the College Vision Mission Values and RISE statement. 9. Supports workforce diversity in all its aspects. 10. Performs other duties as assigned.
Preferred Qualifications
1. Masters degree 2. Experience working in higher education. 3. Proficiency in a foreign language such as Spanish an East Slavic language and/or American Sign Language.
