DescriptionThe operations coordinator manages and supervises the Aquatics and Recreation Center and Maclellan Gym over 100000 square feet of multipurpose athletic and recreational space. The coordinator hires trains evaluates and manages a staff over 20 student part-time employees and works with internal and external constituents for rentals event planning and oversight.
ResponsibilitiesPrimary Responsibilities: Staff Development
- The coordinator hires trains evaluates and supervises over 20 part-time student employees including building supervisors and event staff.
- Trains staff in customer service conflict management risk management communication event management and business operations.
- Creates encourages and supports the professional development opportunities for student staff through training programs professional association involvement and individual mentoring.
- Plans in-service and coaching sessions with a strong emphasis on skill-development transferable work skills and staff empowerment.
- Develops students in leadership positions through regular meetings and coaching sessions.
- Assesses student staff learning outcomes and engages in departmental training efforts for student staff.
Facility Management
- The operations coordinator supervises the daily operations of the Aquatic and Recreation Center and Maclellan Gym over 100000 square feet of multipurpose athletic and recreational space.
- Interacts with facility users to enhance quality customer service and enforce policies and procedures relating to equipment and facility use.
- Assist with the management of security initiatives including access authorization radios security cameras key authorizations risk management drills accident/incident reporting and risk mitigation.
- Ensures the collection of data related to program operations participation numbers participant satisfaction and learning.
- Conducts regular walk-through and reviews of facilities.
Reservations and Rentals
- Oversees facility programs events and coordinator works with department programs university departments and community patrons regarding scheduling billing and contracts personnel facility preparations and assessment.
- Manages activities on the daily schedule ensuring proper facility preparation and assisting reservation groups with access set up and utilization of the facility.
- Ensures diverse offerings of drop-in sports to meet the needs of the campus community by organizing an informal recreation schedule for court space and open recreation time and balances this with reservations.
- Seeks out facility revenue opportunities. Volume includes over 300 reservation requests and over $40000 in revenue generation.
Budget and Business Operations
- The coordinator assists in the preparation plans and projections of the annual budget of over $90000 including labor program expenses maintenance and equipment purchasing.
- Presents capital requests for review and additional funding. Ensures compliance with all university budget and purchasing policies.
- Supports membership sales guest pass sales and operates facility/membership management software for point of sale facility reservations program registration maintenance requests and accident/injury reporting.
- Maintains inventory and purchases equipment for checkout and facility operations.
- Develops an annual budget tracking and monitoring and making budget adjustments as needed.
New Programs Initiatives and Projects
- The operations coordinator works with on-campus and community partners to create a welcoming campus recreation environment.
- Keeps abreast of current industry trends best practices and standards.
- The operations Coordinator works will all UTC Campus Recreation professional staff to advance the departments vision mission core values and strategic plan.
- Works to support the overall mission of Campus Recreation Enrollment Management and Student Affairs (EMSA) and UTC including active participation in Campus Recreation and campus campaigns initiatives and projects.
Competencies/Qualifications
- Ability to monitor a budget and payroll
- Knowledge of facility reservation processes.
- Ability to obtain First Aid/CPR/AED certification
Preferred knowledge skills and abilities:
QualificationsMinimum Qualifications:
Requires bachelors degree and 1-2 Years experience supervising part-time staff and recreational or athletic facility operations. Experience in event planning execution and oversight.
Preferred Qualifications:
- Prefers masters degree and 2-5 Years experience in recreational or athletic facility operations. Experience with facility rentals scheduling and billing. Certification CPR/First Aid
