Job Overview
The OHS (Occupational Health Services) Administrative Assistant performs a variety of tasks guided by company policies assigned duties priorities and instructions from the Medical Director / Provider in an Occupational Health setting.
Responsibilities
Essential Duties:
- In addition to secretarial duties (filing taking phone calls scheduling appointments making travel arrangements) this position will provide administrative support to staff with office management responsibilities to include budgeting personnel records data acquisition data reporting and payroll.
- The Administrative Assistant may be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials.
- Develops work content charts of planned vs. actual work performance as instructed.
- Provide data input as instructed for various purposes as required.
- Prepares financial reporting / statements as required.
- Prepare all Contractor data requirements for approval prior to submission to the customer along with other various monthly/quarterly reporting requirements.
- Support management and customers in obtaining data or developing contract and budget requirements as instructed.
- Performs accounting / cost analysis and work control tasks assigned.
- Perform quality work within deadlines with or without direct supervision.
- Monitor clinic services provided under Task Orders. Provide reporting to site agencies upon request and on regularly scheduled basis.
- Utilize Pricing associated with clinic services for projecting estimates for agency Task Order services containing Labor Material and ODC to estimate funding requirements.
- Provide support to OHS Task Order service(s) as required.
- Cority Electronic Health Record System (EHRS) reporting for services and/or statistical data utilizing Report Writer Program within Cority EHRS.
- Vaccination Inventory Reporting along with EHRS reporting of inventory levels for Cority update. Also provide reporting of specialty programs such as Influenza Program and/or Covid Vaccination Program as required.
- Utilize Maximo to create purchase requisitions apply proper charge codes and receive invoices for payment processing as directed.
- Provide lump sum purchase orders for supplies services and equipment preventive maintenance/corrective maintenance as well as validation of all OHS invoices received when directed.
- Operate standard office equipment and provide computer support for OHS staff as needed.
- Work in a collaborative model with the Medical Director Providers and all OHS staff.
- Comply with NASA directives and OHS Policies Plans and Work Instructions.
- Assemble and prepare reports correspondences and logs as required.
- Provide vendors with SPLAN Gate Passes as needed to perform services.
- Provide additional clerical support to OHS as needed.
- Perform data entry and other work as required.
- All other duties as assigned.

Mandatory:
- High school diploma or equivalent
Working Conditions:
- Physical effort involving able average standing sitting walking or detail work.
- Must be able to lift and carry up to 50 lbs.
- Dexterity to operate office equipment as required by the position.
- Occasional risk of injury due to hazards.
