About the role
The Operations Senior Officer (WIL) will provide apivitolrole within the STEM College Work Integrated Learning (WIL) Team. Under the direction of the WIL Manager the Operations Senior Officer (WIL) willcoordinate and drive operational and administrative activities. Key tasks will include managing student scholarships processing invoices conducting annual documentation reviewsassistingwith WILreportingandmaintainingkey digital platforms such asSharepointandSmartsheets.
The position requiresadetail-orientedproactiveandhighlyorganisedindividual whocan effectivelycoordinate projectsensure the smooth operation of digitalplatformsand support the financial aspects of scholarship management and invoicing. The ideal candidate will have a strong ability tocollaboratewith various stakeholders to enhance the efficiency and effectiveness of the WIL teams business operations.
To be successful in this position youwillhave:
Demonstrated experience in financial administration including the processing of scholarshippayments and tracking of invoices. This includesidentifyingeligibility liaising with key stakeholders ensuringtimelyprocessing and resolving any discrepancies.
Proven ability tomaintainaccuraterecords and ensure compliance with relevant policies andprocedures. This involves high level attention to detail and a commitment to quality assurance in all administrative tasks.
Proficiencyin computer software packages includingSmartsheets Power BI and Office 365. This includes the ability to effectively understand andutilisethese tools to manage projects andanalysedata.
Demonstrated experience in managing digital platforms such as SharePoint and conducting regular reviews of student-facing documentation. This includesmaintainingand updating digital content to ensure it is current and aligned with relevant policies.
Strong project management skills including the ability to develop coordinate and monitor project timelines deliverables and milestones. This also involves preparing comprehensive reports and ensuring projects are completed on time and within scope.
Experience incollaborating with internal stakeholders to ensure theaccuratecollection of WorkIntegrated Learning (WIL) data and information. This includes ensuring that all data is current andalignswith relevant policies procedures and legislation.
Ability to adapt to changing priorities and work effectively in a dynamic high-volume environment. This includes managing multiple projects simultaneously and meeting tight deadlines under broad direction from the WIL Manager.
Proven ability to work independently and as part of a team.
