The Office Administrator and Event Planner plays a vital role in supporting the Member of Parliament through office coordination community outreach event planning and stakeholder engagement. This position coordinates constituency events manages logistics and maintains strong relationships with local organizations partners and volunteers. The incumbent stays informed of community activities to identify opportunities for the Member to attend or highlight initiatives on their behalf ensuring the office remains responsive connected and visible within the community.
Key Responsibilities
Office & Operations Administration
- A strong working knowledge of casework and constituency office operations including correspondence management and workflow processes to assist the caseworkers and broader team where and when needed. Conduct regular team check-ins to support communication coordination and overall office continuity
- Produce weekly reports analyzing correspondence and casework trends.
- Other duties as assigned.
Community Engagement and Outreach
- Help maintain high service standards including achieving positive constituency feedback.
- Assist with flyers brochures and other print or digital content concerning local priorities.
- Work with Member to build and sustain relationships with local community businesses and stakeholders in the riding.
Event Planning
- Coordinate and manage in office meetings roundtables town halls community outreach events and community engagement events within the riding.
- Scheduling community events and attending events with the Member and/or on behalf of the Member
- Maintain knowledge of local event venues and logistical requirements.
- Plan and execute events effectively while adhering to budgetary constraints.
- Gather and analyze data to support event strategies and community engagement.
Qualifications :
Knowledge and Education :
- Strong connection to and knowledge of Cambridge and North Dumfries.
- Post-secondary degree or a combination of education and relevant experiences.
Experiences :
- Experience leading a team.
- Experience with planning and executing events from start to finish.
- Experience with file management.
- Experience with stakeholder engagement.
Skills :
- Exceptional attention to detail and organizational skills.
- Strong communication and interpersonal skills including writing and graphic design.
- A strong work ethic with an ability to think creatively work independently and often outside of regular business hours.
- Strong political awareness on federal issues and different levels of government.
