Service Coordinator RWC Group Central Ave
Summary:
The Service Coordinators primary function is to support the day-to-day administrative and customer communication needs of the Service Department at the RWC Group Central Ave location. This role helps drive efficient workflow by coordinating customer communication scheduling service-related activities supporting work order administration assisting with technician time tracking and helping ensure billing and warranty processes are completed accurately and in a timely manner.
Essential Job Functions:
Serve as a primary point of contact for internal and external Service Department inquiries including phone calls walk-in customers and email communication.
Support the scheduling and coordination of preventive maintenance services DOT inspections recallsand other service-related appointments.
Maintain daily communication with customers regarding the status of vehicles in the shop providing clear and timely updates.
Open work orders as directed update technician notes and comments and prepare work orders for closing. May close work orders as directed by the Service Manager.
Assist the Service Manager and Service Advisor Team in monitoring open work orders to help ensure jobs are progressing properly and are closed in a timely manner.
Support billing administration for the Service Department including organizing documentation needed for customer-pay and warranty-related repairs.
Process warranty claims and PIPs for the Service Department submit claims to manufacturers and follow up as needed to help ensure payment is received.
Help maintain strong communication between customers service advisors technicians and leadership to support workflow efficiency and customer satisfaction.
Working Environment / Physical Demands:
This position works in both an office and active shop environment. The role requires consistent walking throughout the service department and yard frequent movement between customer areas and shop areas and stepping up into and out of trucks as needed. May also require standing for extended periods bending reaching and working around heavy-duty commercial vehicles in a fast-paced service environment.

Maintain Service Department filing systems and records as needed
Assist with department projects and administrative support tasks as assigned by management
Perform other duties as assigned to support the success of the Service Department
Skills and Qualifications:
Strong organizational administrative and communication skills
Ability to manage multiple tasks and priorities in a fast-paced service environment
Proficiency with Microsoft Office and internet-based programs
General understanding of mechanical and technical terminology preferred
Strong customer service skills with the ability to communicate professionally and effectively
High School Diploma or GED required
