Job Description
UWMilwaukees Department of Human Resources is seeking a highly organized proactive Administrative Assistant III to provide comprehensive administrative and operational support to the Associate Vice Chancellor & Chief Human Resources Officer and Associate Vice Chancellor & Chief Financial Officer. This position also serves as the office manager for both the Human Resources and Business & Financial Services departments acting as a central point of contact for internal and external stakeholders and ensuring smooth daytoday operations
Schedules logistics and secures resources for meetings conferences travel and work unit operations
Serves as a primary point of contact for internal and external stakeholders provides organizational information via phone in person e-mail and other communication mediums
Prepares and audits complex records edits documents and reviews work done by others
Develops sends receives copies and distributes communications to the appropriate entities according to established policies and procedures
Develops implements and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
Updates and maintains departmental websites or online platforms to ensure content is accurate timely and compliant with relevant policies procedures and standards
Maintains relevant expenses and invoices for managing departmental purchasing card
Exercises discretion and solves routine problems independently
Monitors and orders department supplies
Adheres to State of Wisconsin records management and retention requirements
Maintains confidentiality and handles sensitive information appropriately
Completes all other duties as assigned
