REPORTS TO: Chief Talent Officer/HR Employment Coordinator

SUMMARY: The position of Office Technician is for the purpose(s) of providing clerical support to assigned personnel and the department staff to which the Technician is assigned; communicating information to staff the public and other districts; providing complete and accurate documentation and audit trail; and providing information and/or direction as may be requested.

REQUIRED QUALIFICATIONS:

  • High School Diploma or GED
  • Job-related experience with increasing levels of responsibility
  • Targeted job-related education that meets organizations prerequisite
  • Ability to assist team members
  • Ability to take direction
  • Ability to work with confidential materials

PREFERRED QUALIFICATIONS:

  • School District job-related experience
  • Bilingual Preferred

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Answers telecommunication system for the purpose of screening calls transferring calls responding to inquiries and/or taking messages
  2. Maintain and organize files and filing systems within the office
  3. Assesses situations (e.g. involving other staff students parents the public etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution
  4. Maintains schedules (e.g. meetings room schedules etc.) for the purpose of coordinating available space
  5. Processes documents and materials (e.g. schedules agendas mail etc.) for the purpose of disseminating information to appropriate parties
  6. Orients personnel as may be required to department practices and/or procedures for the purpose of coordinating interdepartmental activities
  7. Presents information on administrative procedures services regulations etc. for the purpose of training and orienting other personnel
  8. Researches various information (e.g. current practices policies education codes etc.) for the purpose of providing information and/or recommendations and/or addressing a variety of administrative requirements and information
  9. Translate memos materials forms etc. for the purpose of providing materials to non-English-speaking customers when applicable.
  10. Supports administrative personnel for the purpose of providing assistance with various administrative functions
  11. Responds to inquiries of staff the public parents and/or students for the purpose of providing information and/or direction as may be required
  12. Assists in the inventory of administrative office supplies for the purpose of ensuring availability of materials when needed
  13. Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities
  1. Perform such other duties and assumes such other responsibilities as may be assigned by the Superintendent/Designee

SKILLS KNOWLEDGE AND ABILITIES:

Skills are required to perform single non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment.

Knowledge is required to perform basic math; read and follow instructions; and understand oral and written instructions. Specific knowledge required to satisfactorily perform the functions of the job includes: various position-specific information learned on-the-job.

Ability is required to schedule activities; collate data; and use basic job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing specific defined processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with specific job-related data; and utilize specific job-related working with others problem solving is required to identify issues and create action plans. Problem solving with data requires following prescribed guidelines; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: being attentive to detail; communicating with diverse groups; and working under time constraints.

RESPONSIBILITY:

Responsibilities include: working under limited supervision following standardized practices and/or methods; providing information and/or advising others; and operating within a defined budget. Utilization of some resources from other work units may be required to perform the jobs functions. There is a continual opportunity to impact the Organizations services.

PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. WORK ENVIRONMENT:

The usual and customary methods of performing the jobs functions require the following physical demands: some lifting carrying pushing and/or pulling; and some fine-finger dexterity. Generally the job requires 90% sitting 5% walking and 5% standing. The job is performed in a generally clean and healthy environment.
