For our Workplace Management Team we are currently looking for a Facilities Manager (m/f/d).

Job Location: Hamburg or Cologne regular travel between both locations required

Your tasks:

  • Greet assist and direct candidates/new hires/visitors to the appropriate staff member

  • Issue of ID and access badges for new hires/vendors/visitors and maintain records.

  • Undertaking site inductions for new vendors on behalf of JLL

  • Receive direct and relay telephone email and other queries

  • Book onsite meeting rooms and hospitality as per client requests

  • Liaise with site managing agent and site security

  • Provide timely reports to the IFM Operations Lead and Account Director

  • Manage and track the completion of the scheduled work covering all FM and JLL areas of responsibility

  • Conduct daily checklists (with onsite vendor staff) meet with suppliers to review and manage performance

  • Manage the Facilities Helpdesk Platform and liaise with local service providers

  • Ensures compliance with the JLL Best Practice policies and procedures. Takes secondary position in assuring that the property achieves stated objectives relative to the scope of the contract. Implements Best Practices and JLL standards for FM service provision

  • Assist in coordinating the repair and maintenance of office equipment and in the ordering of office supplies.

  • Track and chase outstanding maintenance issues.

  • Assist with the organising of vendor meetings vendor performance reviews and Quarterly Business Reviews.

  • Assist the IFM Operations Lead in developing a close working relationship with all of the vendors under JLLs control to ensure that they fully understand the client culture and are made to feel part of the team.

  • Responsible for initiating and closing purchase orders.

  • Maintains purchase order file for invoice back-up in anticipation of receipt of invoices for accounts payable processing and liaise with Nielsens finance team.

  • Develop/update seating charts organizational charts Google documents presentations to support the IFM Operations Lead.

  • Understand how the building services affect the way the client operates.

  • Ensure accurate and detailed hand over is planned in the event of authorised absence

  • Undertake monthly EHS site inspections and report all accidents and Incidents to the JLL EHS Manager

  • Complete necessary monthly reports

  • Understand & actively support JLLs Quality Management program

Your profile:

  • Proven experience in facilities management or workplace services operations

  • Strong customer service and stakeholder management skills

  • Proficiency with CMMS systems (Corrigo preferred) and ERP systems (SAP/JDE)

  • Excellent communication skills and professional phone/reception etiquette

  • Detail-oriented with ability to manage multiple tasks in fast-paced environment

  • Knowledge of HS&E regulations and safety compliance requirements

  • Experience with vendor management and procurement processes

  • Proactive collaborative team player with problem-solving mindset

  • Flexibility to adapt to changing priorities and think outside the box
