The WW Grocery Stores Finance organization is seeking a driven highly proactive and detail-oriented Executive Assistant to provide executive support to two Directors. This role will support the Director overseeing Grocery FinTech (based in Austin TX) and the Director of International Grocery Finance (based in London UK).
This role will focus on keeping both leaders and their teams organized informed and on task. High-level calendar management and scheduling across multiple time zones will require extremely high standards and attention to detail as well as exceptional time management and organizational skills. You will juggle multiple critical requests handle difficult problems and projects and anticipate the needs of both leaders and their organizations. Experience supporting executives across international time zones and coordinating with overseas leadership is essential for success in this role.
You will complete complex tasks and projects quickly with minimal guidance react with appropriate urgency and take effective action. Work is primarily tactical while demonstrating emerging strategic thinking. You will identify issues and resolve them without being prompted delivering independently while seeking direction as needed. Flexibility to change direction at a moments notice is critical.
We work as a global team partnering with internal and external stakeholders across different businesses and geographies. The ability to work successfully in a team environment and independently while building effective working relationships inside and outside of direct teams is essential.
In this role you will leverage AI-powered tools and automation to enhance productivity streamline workflows and optimize cross-team procedures. Experience with or enthusiasm for learning generative AI tools to enhance executive support functions is highly valued.
This role requires five (5) days a week in office.
Key job responsibilities
- Manage complex calendars and scheduling for two Directors across international time zones with particular focus on coordinating between Austin and UK-based leadership
- Coordinate extensive international travel arrangements ensuring seamless logistics across continents and time zones
- Handle difficult problems and projects that impact both FinTech and International Grocery Finance organizations
- Anticipate leader and organizations needs proactively identifying priorities and resolving issues before being prompted
- Optimize cross-team procedures processes and best practices across US and UK operations
- Coordinate team activities including staff meetings all-teams offsites and events for both organizations
- Manage sensitive and confidential information with highest discretion
- Attend key meetings track deliverables and ensure timely follow-up across multiple workstreams
- Create expense reports and manage budget tracking for both executives
- Make trade-offs between time quality and resources to meet organizational goals
- Serve as liaison between executives and internal/external stakeholders across multiple geographies
- Leverage AI tools to enhance efficiency in calendar management travel coordination and administrative workflows
- May independently resolve escalations and seek guidance as needed
- Support Grocery FinTech and International Grocery Finance initiatives with administrative excellence
- 5 years of executive assistant experience
- Experience with executive level calendar management
- Experience with domestic or international travel coordination
- Experience with Microsoft Office products and applications
- Experience handling administrative details independently while exercising good judgment in keeping team members adequately informed
- Experience leading process improvements
- Experience in a fast-paced high-tech company
- Experience designing processes to maximize efficiency
- Experience working with large global teams

The base salary range for this position is listed below. Your Amazon package will include sign-on payments and restricted stock units (RSUs). Final compensation will be determined based on factors including experience qualifications and location.
