Conference Coordinators support the logistical planning and execution of Opal Groups conferences by managing travel arrangements operational tasks and event preparation activities. This role works closely with Meeting Planners to help ensure conference logistics are organized accurate and executed efficiently across multiple events.
Position Level: Entry-Level
Job Type: FT International Consultant
Compensation: $1100 USD per month
Location: Remote

Responsibilities include but are not limited to:
- Support Meeting Planners with logistical planning and coordination for multiple conferences
- Coordinate internal travel transportation and shipping arrangements for conferences
- Manage speaker travel logistics and assist with coordinating accommodations when required
- Maintain and track hotel room blocks reservations and related attendee requests
- Collect and organize speaker and sponsor materials such as biographies headshots and presentations
- Maintain accurate conference information across internal systems and databases
- Coordinate attendee communications related to logistics travel and event preparation
- Assist with preparing conference materials including badges signage and printed materials
- Track and organize event-related documentation including receipts invoices and operational records
- Provide professional customer service to speakers sponsors and attendees when addressing logistical questions
- Support onsite conference operations when additional event support is required
- Collaborate with internal teams including marketing sales accounting and operations to support conference preparation
Qualifications:
- Bachelors degree preferred
- Advanced English skills in verbal and written communication are required
- Strong organizational and coordination skills with the ability to manage multiple events simultaneously
- Experience supporting logistics event coordination or operational project management is preferred
- Strong attention to detail and ability to manage high volumes of information accurately
- Excellent interpersonal and professional communication skills
- Ability to work effectively in a fast-paced deadline-driven environment
- Proficiency with Microsoft Office tools including Word Excel and PowerPoint
- Experience with Salesforce or CRM systems is a plus
- Self-motivated and able to work both independently and as part of a team
