We are seeking a highly organized and detail-oriented Administrative Assistant to support daily business operations in a fully remote environment. This role is critical in ensuring smooth coordination of administrative tasks communication scheduling and documentation across teams.
The ideal candidate is proactive reliable and capable of managing multiple responsibilities while maintaining a high level of accuracy and professionalism.
Key Responsibilities
Manage calendars schedule meetings and coordinate appointments across teams
Handle email correspondence and respond to inquiries in a timely and professional manner
Prepare edit and maintain documents reports and presentations
Organize and maintain digital files records and databases
Assist with data entry reporting and basic bookkeeping tasks
Coordinate internal communications and support remote team collaboration
Support project tracking task follow-ups and administrative workflows
Arrange virtual meetings take meeting notes and track action items
Perform general administrative duties as assigned
Required Qualifications
High school diploma or equivalent (Associates or Bachelors degree preferred)
2 years of experience in an administrative or office support role
Proficiency in Microsoft Office Suite (Word Excel Outlook) and/or Google Workspace
Strong organizational and time-management skills
Excellent written and verbal communication skills
Ability to work independently in a remote environment
High attention to detail and problem-solving ability
Must be legally authorized to work in the United States (valid U.S. work permit required)
Preferred Qualifications
Experience working in a fully remote or distributed team environment
Familiarity with project management tools (e.g. Asana Trello )
Basic knowledge of accounting or bookkeeping software
Strong multitasking and prioritization skills
