Role Overview
We are looking for a proactive and wellorganised Senior Consultant to join our GEMs team in Hong Kong. The successful applicant will support the delivery of global corporate secretarial services across multiple jurisdictions. This role is ideal for a partqualified company secretary or an individual with early-stage experience in corporate governance who is ready to take ownership of workflows coordinate with international stakeholders and ensure highquality service delivery for our clients.
Job Role & Responsibilities
Corporate Secretarial Coordination
- Coordinate corporate secretarial tasks across a variety of jurisdictions and time zones.
- Liaise with local legal teams and service providers to ensure timely delivery of corporate secretarial services.
- Support the onboarding of new clients including coordinating required documentation and engaging local teams.
- Maintain accurate entity records and ensure clients legal entities remain compliant with local statutory and regulatory requirements.
Client Management & Communication
- Serve as a central point of coordination for clients ensuring updates and actions are clearly communicated.
- Participate in regular client update calls and service review meetings.
- Monitor action items and follow up with relevant parties to ensure timely completion.
- Assist in preparing reports trackers and meeting materials.
Operational Support
- Ensure internal databases spreadsheets and client records are accurately maintained and kept up to date.
- Support the preparation and issuing of client invoices; ensure supplier invoices are reviewed and approved.
- Help oversee SLAs and ensure service delivery standards are met.
- Identify and escalate risks issues or delays as needed.
Stakeholder Engagement
- Build strong working relationships with internal teams third party providers and global stakeholders to ensure smooth workflow and service excellence.
- Proactively identify opportunities to improve the client experience.
Professional Development
- Support senior team members on projects and client deliverables.
- Gain experience in coordinating international entity management and progress towards full company secretarial qualification.
Essential Knowledge Skills & Experience
- Partqualified or currently studying towards CGI/ICSA qualification (or equivalent).
- 13 years experience in corporate secretarial governance legal admin professional services or similar environment.
- Strong organisational skills with the ability to manage multiple deadlines.
- Excellent communication skills and confidence working with clients and global stakeholders.
- High attention to detail and strong sense of accountability.
- Comfortable using Excel databases and workflow systems.
