What Youll Do

The Program Controls Coordinator provides administrative and technical support to the Project Controls and Estimating organization supporting Minor Construction Projects (MCP). This role is responsible for coordinating work authorization supporting cost and schedule reporting efforts maintaining project documentation and assisting with project status reporting to leadership and customers. The position also supports onboarding coordination for new hires within the organization. This role reports directly to the Project Controls Director for MCP and Estimating Organization. The Program Coordinator plays a critical role in ensuring disciplined governance documentation accuracy and timely reporting across the MCP portfolio.

Key Responsibilities

Project Controls & Reporting Support

  • Prepare assemble and compile monthly Project Status Reports (PSRs)
  • Coordinate monthly PSR meetings with Project Controls and Management Leadership
  • Maintain project documentation and enforce version control standards
  • Support preparation of reporting deliverables for leadership reviews
  • Assist the team in meeting weekly and monthly deliverables as directed

Work Authorization (WA) Coordination

  • Support the preparation routing and tracking of Work Authorizations
  • Maintain WA documentation and ensure audit-ready records
  • Coordinate with Program Engineering Project Controls and Project Management to resolve discrepancies
  • Monitor approval routing and send reminders when aging exceeds established thresholds
  • Track WA processing timelines and escalate delays as necessary
  • Ensure Work Authorizations are processed accurately and in a timely manner

Administrative & Organizational Support

  • Support onboarding coordination for new hires within the organization
  • Coordinate new employee system access requests
  • Assist with scheduling meetings tracking action items and maintaining internal logs
  • Support preparation of presentation materials for leadership briefings
  • Develop and maintain the organizations SharePoint site and document structure
  • Support Process Workflow Management (PWM) electronic-flow (e-flow) document control processes related to Work Authorizations and Cost Estimating Requests

Minimum Job Requirements

  • High School diploma: Minimum 4 years of relevant experience
  • OR Associate degree in related discipline: Minimum 2 years of relevant experience

Preferred Job Requirements

  • Minimum of 4 years of experience in project coordination project controls support administration or program support
  • Strong organizational and document management skills
  • Understanding of project reporting and documentation practices
  • Experience supporting DOE or federally funded construction projects
  • Familiarity with Work Authorization systems or project funding processes
  • Understanding of basic project controls concepts
  • Experience supporting construction or project management operations
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint)
  • Experience supporting cost schedule or project reporting environments
  • Ability to manage multiple priorities in a deadline-driven environment
  • Strong written and verbal communication skills
  • Customer-focused mindset with a collaborative and service-oriented approach
  • Working knowledge of software/tools such as SharePoint PWM e-flow Adobe Acrobat Microsoft Office Suite Project Controls Tools and Tools for Opportunities Performance Improvement through Communicaiton ( TOPIC)

Requires a Q clearance; however all qualified candidates will be considered regardless of their current clearance status. The ability to obtain and maintain a Department of Energy Q clearance is required.
Position may require entry into Materials Access Areas (MAA) and participation in the Human Reliability Program (HRP). If HRP is required candidate must complete a counterintelligence-scope polygraph pursuant to 10 CFR 709. Medical requirements may apply.
