THE ROLE

Were looking for a Junior IT Project Coordinator to join our Operations team and work at the heart of how OAKS LAB builds delivers and evolves.

This is a unique opportunity for someone early in their career who wants to learn fast get their hands dirty and grow into a leadership position. Youll work directly alongside our senior management teamincluding the COO Head of Engineering Head of Product Heads of Delivery and Head of Designall of whom have decades of experience building and scaling software products.

You wont just be coordinating. Youll be contributing to how we operate how we adopt AI across the business and how we deliver products to some of the most ambitious tech companies in the US. Were moving to agentic coding and AI-first developmentand this role puts you right at the centre of that transformation.

RESPONSIBILITIES

Product & Project Operations

• Coordinate product syncs track action items and maintain project health dashboards across our portfolio of active products

• Support our Delivery Managers and Product leads with operational rhythmscheduling follow-ups status reporting and logistics

• Act as a connective layer between leadership and delivery teams ensuring clarity and alignment across the organization

AI Adoption & Tooling

• Coordinate the rollout of AI development tools (Claude Code Cursor and other agentic) across our teams

• Manage AI tool licensing onboarding and usage tracking

• Work with our security team to streamline the review and approval process for new AI toolsbringing development context to compliance conversations

• Support project-specific AI compliance and documentation requirements especially for US-based enterprise clients

Knowledge Process & Documentation

• Champion and maintain the OAKS LAB WAYour proprietary product development methodologykeeping documentation current and actionable

• Ensure our knowledge base is structured for agentic workflows (AI agents need well-organized documentation to work effectively)

• Drive documentation standards and process improvements that make the whole company more efficient

• Support our ISMS (Information Security Management System) documentation and compliance processes

REQUIREMENTS

Were looking for someone with 13 years of professional experience who combines strong organizational instincts with genuine curiosity about technology and AI. You dont need to be a developer but you should care deeply about how great products get built.

• Experience: You have 13 years of experience in operations project management product coordination or a related role in a tech or digital services environment

• Organization: Youre highly organized with a natural ability to keep multiple workstreams on track without letting things fall through the cracks

• AI curiosity: Youre genuinely excited about AI beyond simple conversations with ChatGPT.

• Communication: You communicate clearly and confidentlywhether youre writing a project update running a sync or flagging a risk to senior leadership

• Language: You speak and write English fluently. Our company language is English and our clients are US-based

• Drive: Youre proactive and self-directed. You see what needs to be done and you do itwithout waiting to be asked

• Tools: Youre comfortable with tools like Jira Confluence Slack Asana or similar project management platforms

• Technical awareness: You have a basic understanding of software development concepts and product lifecycleyou dont need to code but you should understand the world youre operating in
