Role Purpose

The Crystal Onboarding Administrator is responsible for accurately capturing new customer information validating onboarding documentation updating internal systems and assisting both customers and internal teams with onboarding-related queries. This role supports the full onboarding workflow ensuring a smooth and professional experience for new customers and maintaining accurate up-to-date system records. This position offers strong exposure to CRM systems data accuracy client onboarding processes cross-department collaboration and administrative supportmaking it well-suited to a YES4Youth developmental placement.

  • Must reside close to the workplace area
  • Must not have a criminal record.
  • Must be able to start employment on 1 May 2026.
  • Highest Qualification to be Grade 12
  • Qualifications aligned to the position would be an advantage

    Duties & Responsibilities

    Customer & Data Onboarding

      Capture new customer onboarding information in Crystal and related CRM systems.
      Validate customer data and ensure accuracy before processing.
      Upload and maintain all onboarding documents and ensure completeness.
      Update customer profiles as new information is received.

      Customer Support & Query Resolution

      Assist customers with onboarding-related queries (documents requirements status updates).
      Provide support regarding system activation requirements and next steps.
      Escalate system or onboarding issues to relevant departments where necessary.

      Scheduling & Coordination

      Liaise with departments such as Sales Billing Technical and PFC teams to coordinate onboarding actions.
      Communicate scheduling needs (e.g. installations verifications follow-ups).
      Ensure departments receive accurate onboarding information to proceed with their tasks.

      Compliance & Critical Checks

      Conduct onboarding-specific checks on Crystal CRM and internal systems.
      Verify compliance documents where required.
      Perform required onboarding validations to ensure accounts are correctly set up.

      Reporting & Documentation

      Complete daily weekly and monthly onboarding status reports.
      Track outstanding items (missing documents pending validations unresolved onboarding steps).
      Maintain accurate internal logs related to onboarding progress and cases.

      Policy & Process Adherence

      Strictly adhere to company policies department SOPs and onboarding processes.
      Always maintain professional communication with customers and internal partners.
      Ensure all onboarding actions are completed within required timeframes.

      Developmental Focus (YES4Youth Alignment)
      Exposure to customer onboarding processes and multi-departmental workflows
      Development of data accuracy communication and coordination skills
      Hands-on experience using CRM systems (Crystal CRM platforms)
      Growth in administrative capability and process-driven work
      Experience supporting a high-volume environment with accuracy and professionalism

      Qualifications (Advantageous):
      Matric / National Senior Certificate (minimum requirement)
      Studying toward or have completed a qualification in:

      1. Business Administration
      2. Office Administration
      3. Customer Service
      4. Information Systems
      5. related administration or support fields
