About the Role

We are seeking a proactive and service-oriented Facilities Coordinator to support our Workplace Experience this role you will help ensure a seamless safe and well-maintained workplace environment by coordinating maintenance operations vendor services workplace logistics and occupancy needs.

The ideal candidate is highly organized customer-focused and comfortable managing multiple operational responsibilities while building strong relationships with internal teams and service providers.


Key Responsibilities

Service Delivery

  • Support a culture of teamwork collaboration performance excellence and professional growth.

  • Conduct daily office walkthroughs to maintain a clean organized and fully functional workspace while identifying maintenance repair cleaning or equipment needs.

  • Execute work orders preventative maintenance and service requests promptly with minimal disruption to employees ensuring KPI compliance and high service standards.

  • Maintain visibility into preventative maintenance programs by proactively inspecting critical areas and servicing equipment and appliances.

  • Identify opportunities to improve operational efficiency and service delivery and provide recommendations for enhancements.

  • Conduct regular site inspections and assessments to ensure building procedures safety standards and performance measures are maintained.

  • Perform minor maintenance tasks such as light touch-up painting light bulb replacement and basic repairs or installations.

  • Schedule and manage repairs maintenance work and minor facility projects ensuring completion when work cannot be handled internally.

  • Coordinate vendors facilities staff and service providers across building systems including plumbing electrical HVAC and general contracting to maintain smooth facility operations.

  • Assist with office moves furniture adjustments workstation reconfigurations and other space management needs.

  • Support meetings and events by coordinating room setup furniture arrangement audio/visual equipment décor and temperature adjustments.

  • Assist with operational tasks such as reception support guest services mail and courier management office supplies coordination equipment upkeep landlord communications access pass management and safety/security support.

  • Maintain accurate records documentation and system updates related to site operations including moves reconfigurations events and building services.

  • Support emergency preparedness by helping maintain response plans evacuation procedures after-hours emergency protocols and environmental health and safety initiatives.

Client Relationship Management

  • Ensure compliance with all client contract requirements and consistently meet or exceed key performance indicators.

  • Deliver exceptional service quality as reflected in client feedback and satisfaction.

  • Coordinate site operations in alignment with established policies procedures and contractual scope.


Qualifications

  • Previous experience in facilities management property management hospitality or a related field preferred.

  • Ability to lift up to 50 pounds and assist with moving furniture or equipment when necessary.

  • Familiarity with occupational health and safety standards and vendor management practices is advantageous.

  • Basic understanding of building systems such as HVAC fire protection mechanical and electrical systems or data center cooling is a plus.

  • Proficiency with common workplace technology tools and digital platforms.

  • Strong communication organizational and problem-solving skills.

  • Ability to work independently with minimal supervision while effectively managing high-pressure situations.

  • Self-motivated confident energetic and adaptable in a dynamic workplace environment.
