Position Summary
A Wider Circle seeks an experienced CRM Implementation/Project Manager Consultant to lead the transition from several legacy systems to a modern CRM platform LiveImpact. This consulting engagement will guide the organization through the planning data preparation migration implementation and adoption of the new CRM.
This role requires a consultant who can combine technical data migration expertise with strong project leadership to ensure a successful CRM implementation across multiple departments.
The consultant will collaborate closely with internal stakeholders and the LiveImpact implementation team to ensure the CRM system enhances operational efficiency strengthens data integrity and supports the organizations mission.
Legacy systems currently in use include:
- Acuity
- Apricot
- Galaxy Digital
- Little Green Light
- Other programmatic databases
The objective is to have these systems consolidated into LiveImpact. The consultant will be responsible for guiding the project life cycle from discovery and planning through full implementation and adoption.
Consulting Responsibilities
Project Planning and Implementation
- Define project scope milestones deliverables and implementation timeline
- Develop and manage the CRM implementation roadmap
- Coordinate CRM configuration deployment and system rollout
- Collaborate with the LiveImpact implementation team and internal project stakeholders.
- Facilitate user acceptance testing (UAT) and deployment readiness.
- Support integration with external platforms and APIs as needed.
Data Migration and Strategy and Execution
- Lead development of data migration strategy from legacy systems.
- Oversee data extraction mapping transformation and validation.
- Identify and resolve data inconsistencies or quality issues.
- Ensure high-quality data normalization and integrity in the new CRM.
- Coordinate migration validation with the LiveImpact implementation team.
Stakeholder Collaboration and Communication
- Serve as the primary liaison between A Wider Circle leadership internal teams and LiveImpact.
- Provide regular project status updates risk assessments and milestone reports.
- Facilitate stakeholder meetings and cross-functional planning sessions.
- Support change management and user adoption.
CRM Configuration and Optimization
- Translate business requirements into CRM functional configurations.
- Support system customization and workflow optimization.
- Establish data governance and security best practices.
- Ensure CRM structure aligns with programmatic fundraising and operational needs.
Training and Documentation
- Develop user training materials and onboarding guides.
- Conduct CRM training sessions for internal staff.
- Document system workflows and operational procedures.
SOP Development
The consultant will develop Standard Operating Procedures (SOPs).
- CRM data entry standards
- Data governance policies
- Reporting and dashboard usage
- System maintenance processes
- User access and permissions management

Preferred Consultant Qualifications
Education and Experience
- Bachelors Degree in: Computer Science Information Systems or related field
- PMP Project Management Professional
- Certified Scrum Master (CSM)
- Minimum 5 years leading CRM implementations
- Experience managing data migrations across multiple systems
- Experience working with nonprofit CRM platforms
- Experience with LiveImpact preferred
Technical Skills
- Strong understanding of database Structures
- Data extraction mapping transformation and validation
- CRM architecture and system integrations
- Data governance best practices
Project Management
- Proven experience managing cross-functional technology projects
- Familiarity with project management tools such as:
o Monday
o Asana
o Smartsheet
o Jira
