Job Summary

POSITION SUMMARY

Reporting to the Programming Managers the Artist Services Coordinator is responsible for booking and managing all aspects related to previously negotiated artists logistics at SummerStage in Central Park as well as the point person for serving as the hospitality point person on site for artist hospitality.

Expected average hours per week: 15 - 32

COMPENSATION: $30 per hour


RESPONSIBILITIES

Remote

  • Secure hotel and ground transportation vendors for Mainstage
  • Advance and book all flights hotel accommodations ground transportation and catering needs for artists in coordination with the Programming and Production teams
  • Track all hotel flight catering and ground transportation expenses and receipts
  • Maintain talent rooming lists and flight itineraries
  • Handle petty cash and do shopping for the artist rider and catering fulfillments
  • Attend Programming Meetings
  • Track the Artists Catering Budget throughout the season

On-Site

  • Be on-site for all Mainstage free shows from sound check to the end of the show.
  • Assign dressing rooms to each act and make space accommodations as-needed
  • Programming point person on site
  • Arrive on site before the artists and make sure their area is set up properly (table chairs table cloths bins etc.)
  • Set up the artists table with coffee tea fruits and snacks
  • Maintain the artists green room cleanliness
  • Escort artists in and out of the Mainstage venue
  • Greet artists when they arrive on site and check in on their needs throughout the day
  • Act as the primary contact for artists for hospitality needs on site and coordinate with programming managers and the Production Manager for any special needs
  • Keep track of hospitality inventory (snacks utensils napkins cups etc.) and replenish accordingly
  • Coordinate the delivery of artists meals or meal buyouts
  • Coordinate and collect required signatures for posters as needed
  • Serve as a runner for any hospitality last minute needs
  • Act as the transport captain on site wrangling artists when CPF provides ground transportation
  • Work in tandem with the programming and production office for all artists needs
  • Additional artist relations support as needed

QUALIFICATIONS

  • A minimum of three years of experience as a Artist Services Manager for a performing arts center music venue catering company promoter and/or major tour
  • Minimum three years of administrative work experience in the music business performing arts or with a talent agency
  • Excellent multitasking skills and organizational skills
  • Strong interpersonal and teamwork skills
  • Strong customer service skills
  • Attention to detail and a high level of accuracy
  • Demonstrate good judgment and a professional demeanor
  • Extremely dependable punctual detail-oriented and organized
  • Ability to manage special projects independently to completion
  • Working knowledge of Salesforce and Google Apps required
  • Valid drivers license is required
  • Bachelors degree from an accredited college or university preferred
