Job Summary

This position will be working with Wilhelmsen Ship Management a comprehensive global maritime group providing over half of the merchant fleet with essential products and services along with supplying crew and technical management to the largest and most complex vessels ever to sail. With a pool of more than 13000 seafarers and over 600 shore-based employees all over the world Wilhelmsen Ship Management is one of worlds largest third-party ship managers with a portfolio of more than 450 vessels and counting.
Marine Personnel Specialist supports the Marine Personnel team in liaising with the seafarers for updating the CMS and completing all the pre-joining formalities of seafarers.


Key Responsibilities:
Assist the operations team in daily activities related to seafarer deployment and onboarding. Ensure seafarers certificates and documents comply with STCW Convention and Flag State requirements and with valid documentation covering the contract period and applicable grace period. Prepare necessary travel and joining letters for seafarers and coordinate with the licensing team for the application and processing of Flag State documents.

Maintain accurate records by uploading seafarer data and documents in the Crew Management System (CMS). Ensure all joining seafarers complete their Pre-Employment Medical Examination (PEME) with company-approved doctors and send all required joining documentation in a timely manner.

Conduct authentication checks for certificates ensuring verification details are updated in CMS. Ensure seafarers onboard hold valid Seafarer Employment Agreements (SEA) and process SEA extensions promptly while keeping records updated.

Support smooth crew joining processes and carry out additional responsibilities or tasks assigned by reporting managers as required.

Strong customers focus in supporting seafarers and stakeholders with effective problem-solving and decision-making abilities. Demonstrates strong team commitment creativity and innovation in improving processes along with professionalism and attention to detail when managing documentation compliance and communication.
