This role is centered on elite-level logistics and administrative precision requiring a polished professional who thrives in a fast-paced high-growth tech environment.
What Youll Do
- Complex Travel & Logistics: Own end-to-end domestic and international travel strategy. This includes flight bookings check-ins and ensuring ground transportation is waiting upon arrival. You are the fixer who resolves travel disruptions in real-time.
- Calendar & Correspondence Management: Manage high-volume complex calendars and confidential correspondence. You will strategically protect the executives time prioritizing deep work and high-stakes meetings across global time zones.
- Financial Operations & Expense Reporting: Execute seamless expense reporting reconciliation and budget tracking for the executive office with 100% accuracy.
- Cross-Executive Support: While primarily supporting a top tech leader you will provide administrative assistance to other members of the executive team as needed to optimize regional leadership operations.
- Miami Hub Management: Act as the central point of contact for our Brickell (Miami) office. Oversee facilities and vendor management to ensure the environment is client-ready and reflects our brand standards.
- AI-Enhanced Efficiency: Proactively utilize AI tools (Gemini ChatGPT Claude) for meeting transcription summarization and workflow automation to maintain a competitive edge.
Qualifications :
- Experience: 5 years of C-Suite or high-level Executive Assistant experience preferably within a high-growth software or tech company.
- AI Literacy: Hands-on experience and a personal subscription to AI agents/tools to automate mundane tasks and data workflows.
- Location: Ability to be on-site in the Miami (Brickell) office daily to manage operations and support the executive presence.
- Availability: Flexible and on-call 24/7 to support a high-velocity global schedule.
- Tech Stack: Expert proficiency in G-Suite Slack Zoom Microsoft 365 (Teams) and various travel/expense management systems.
- Soft Skills: High discretion a no task too small attitude and the presence required to represent the head office to clients and executives.

COMPENSATION PACKAGE:
- Base pay range: $115000.00 - $130000.00 USD Annual (12 Months)
- Placement within our pay range will vary based on knowledge skills experience and market location variations as well as internal peer equity
- This position is also eligible for an annual company performance bonus
