Job Summary

Position Objective

The Student Life Program Specialist is a student-funded position contributing to the college mission of educating tomorrows workforce through various retention and completion initiatives by providing administrative support to the Department of Student Life. This position assists with the day-to-day operations of the two student-funded program centers located in the Student Center provides administrative support to the Director of Student Life reconciles and monitors department program budgets assists with student employee hiring processes coordinates department purchases and serves as a general student life advisor to CPTC students. This position works under the direct supervision of the Director of Student Life performs varied and complex tasks works with general supervision and performs other duties as assigned. This job description has been designed to indicate the general nature and level of work performed by employees within this classification. Duties and Tasks (Essential Functions)

Duty:Program Support
Tasks include:

  • Support the operations of the Department of Student Life; generate purchasing accounting human resources travel expenditure transfer and work order requests for student-funded programs and centers utilizing ctcLink SoftDocs Microsoft Office Suite and other necessary technologies.
  • Maintain accurate inventory and organization system of department supplies program consumables and gear.
  • Coordinate purchasing of supplies on an ongoing basis to include but not limited to department programs & initiatives student clubs and organizations and other student-funded programs outside of the department.
  • Assist in the student hiring processes as needed coordinating interview times hiring paperwork and more.
  • Provide assistance and orientation to student life services and processes in person over the phone online and in group settings.
  • Assist with the implementation of major campus events and initiatives including but not limited to New Student Orientation Commencement and Week of Welcome.
  • Assist with department sponsored events and activities on campus off campus and virtual including evenings and weekends as needed.
  • Provide administrative support to student funded programs as it relates to Student Life processes and procedure.
  • Provide staffing support to the Student Leadership & Service Center the Mobile Food Bank and any department event as needed.
  • Coordinate all aspects of department class visits.
  • Interpret and apply program college and State rules and regulations regarding the proper use of Services and Activities Fee funding.
  • Support departmental communications through creation of weekly department memos meeting agendas & record meeting minutes.

Duty: Administrative Support
Tasks include:
  • Receive visitors manage and take phone calls and messages.
  • Prepare and process documents utilizing ctcLink SoftDocs and/or other technology softwares including but not limited to professional service contracts employment action forms (EAFs) purchase requisitions visa reconciliations budget spreadsheets and travel forms.
  • Make travel arrangements for Student Life personnel as well as student organizations as directed.
  • Support departmental communications through creation of weekly department memos meeting agendas & record meeting minutes.
  • Arrange general maintenance and repairs and information technology help tickets.
  • Prepare proof edit reports correspondence and other documents as requested.
  • Perform word processing tasks such as merging and sorting spreadsheet and database software files uploading/downloading; uses spreadsheet and database software to develop and maintain records. Prepares spreadsheets involving the development of formulas; combine files to create reports.
  • Maintain and process purchasing records and travel expense records; ensure compliance with department institution and state regulations and procedures; allocate purchase and travel expenses to appropriate budgets.
  • Serve as the office records retention manager; Maintain a fiscal record keeping system for recording budget transactions; review budget reports verify accuracy and take corrective action if necessary; reconcile budget status reports and prepare expenditure projections.
  • Process manage and track internal paperwork flow providing information on timelines budgets and fundraising. Maintains records of incoming and outgoing correspondence and documents and follows up on work in progress.
  • Compile department data and create data reports on a quarterly and as needed basis.

Duty: Reconcile and Monitor Budgets
Tasks include:
  • Reconcile and monitor department program budgets reports and purchasing requests
  • Maintain department records and operational documentation.
  • Prepare and process financial forms which may include visa reconciliations purchase requistions budget spreadsheets and budget transfer requests.

Duty: Professional Development
Tasks include:
  • Serve on designated department division and college committees as assigned attend meetings and/or conferences as program representative when necessary.

Minimum Qualifications

  • Associates Degree.
  • Minimum of one year of clerical/administrative support work experience in a professional office setting.
  • Strong verbal and written communication skills.
  • Possess excellent customer service and organizational skills.
  • Outstanding cultural competency with proven ability to work effectively with diverse populations.
  • Ability to work independently and as a team player
  • Demonstrated experience with budget administrative support spreadsheets and hiring processes.
  • Ability to multi-task in a fast paced high traffic environment.

Preferred Qualifications

  • Bachelors Degree in social sciences education communications or related field.
  • More than two years experience of clerical/administrative work experience
  • Experience working with ctcLink
  • Experience working with student programs/activities in a higher education setting.
  • Experience working in a collaborative team environment with staff faculty and administration.
  • Experience with Microsoft Office Suite specifically Excel Spreadsheets and utilizing formulas
