Responsibilities
As our Warranty Administrator you will be the backbone of accurate warranty operations. Your role includes:
- Booking warranty repair orders and submitting manufacturer claims
- Maintaining receivable schedules and submitting/following up on service contract claims
- Collaborating closely with technicians service writers and supervisors
- Coordinating with vendors and manufacturers for parts shipments and receipts
- Communicating with Service Advisors to define warranty claim scope
- Processing and documenting all warranty paperwork accurately
- Arranging parts returns and shipments to factories or distributors
- Reconciling all warranty receivables and working with accounting for payments
- Staying current on factory recalls updates bulletins and procedures
- Maintaining strong relationships with manufacturer warranty reps and aftermarket partners
- Reviewing all warranty repair orders for accuracy and compliance
- Entering correct labor operation codes failure codes and all required data
- Ensuring customer deductibles are properly documented and collected
- Reviewing rejected claims and preparing prompt resubmissions
- Tracking all submitted returned rejected and paid claims
- Maintaining physical parts inventory for returns inspection and scrap
- Providing weekly claim status reports to the Service Manager
- Reporting any concerns impacting safety integrity or dealership operations
Qualifications
- Previous warranty or dealership experiencepreferred
- High attention to detail
- Strong teamwork and communication skills
- Proficiency in Microsoft Office preferred
- General accounting knowledge preferred
- Availability: Monday through Friday and some Saturdays
- Valid drivers license with a clean driving record
