LEGAL ASSISTANT
Omaha Office (Regency) Full-Time
Schedule: Monday - Friday 8:30 AM - 5:00 PM
Woods Aitken LLP is seeking a collaborative enthusiastic and detail-oriented Legal Assistant to join our Labor and Employment Law team in our Omaha office.
The ideal candidate will be highly organized proactive and comfortable managing multiple priorities while supporting both case management and administrative aspects of a busy practice. Candidates with prior legal experience and/or certification are encouraged to apply.
Responsibilities
- Drafting proofreading and formatting correspondence pleadings discovery and other legal documents
- Managing case files and document organization including electronic filing in state and federal courts
- Maintaining attorney calendars including court deadlines and meetings
- Ensuring docket entries in the firms practice management system (LMS) are accurately reflected on the attorneys calendar
- Conducting conflict checks and preparing engagement letters for new matters
- Scheduling meetings and sending invitations internally and externally via Outlook Teams and Zoom
- Printing and organizing documents for attorney review as requested
- Communicating professionally with clients courts opposing counsel and outside organizations
- Assisting with administrative support tasks including time entry billing coordination and expense reporting
- Collaborating with other assistants paralegals and attorneys to ensure seamless case management

Qualifications
- 2 years of legal support experience preferred (law firm or corporate legal setting)
- Knowledge of legal terminology court procedures and e-filing systems
- Strong proficiency in Microsoft Office Suite (Word Outlook Excel PowerPoint) and document management systems
- Familiarity with Copilot or other AI tools
- Experience with legal practice management/time & billing systems preferred
Job Requirements
- High school diploma or equivalent required
- Ability to work full-time in-office Monday through Friday from 8:30 AM to 5:00 PM unless otherwise arranged
- Ability to lift and carry up to 20 pounds as needed for moving file boxes as needed
- Ability to perform tasks that may require frequent movement between workstations conference rooms and common areas
- Ability to effectively carryout seated computer-based responsibilities for extended periods and work at a computer
- Ability to communicate clearly in person by phone and in writing
