Position Overview:
The Governance Administrator will provide key administrative support forthe Governance TeamatCiarb. Ciarbis entering a period ofgovernance modernisationand undertakingwork to update governance frameworks structures and processes to ensure theyremainfit for purpose proportionate and aligned withCiarbsevolving organisational strategy.
This includesstrengthening branch governance frameworks to reflect the scale diversity and maturity of the global branch network as well as ensuring consistency transparency and good governance practice across HQ and branches.
This role plays a crucial part inprovidingcoordination and administrative support for all governance activityand will provide opportunities for the right candidate in developing administrative processes and procedures tosupportgood governance practice across the organisation.
You willbe responsible fordelivering an exemplary service to both internal and external stakeholders providingtimelysupport and administrative functions.
Key Responsibilities:
Providing general administrative support related togovernanceand engagementprocesses
Providing exceptional verbal and written communication with internal and external stakeholders.
Taking accountability for general email accounts providing responses to queries managing communications and following escalation procedures when necessary.
Taking responsibility for the diary management ofinternal and external meetings relating to governance.
Providing support in meetings with stakeholders to distribute agendas and take minutes.
Responsibilityforbranch data trackingverificationandrecord-keepingto ensure Branch Governance information isaccurateand up to date.
Maintainaccuraterecords and data within the Customer Relationship Management system and other internal databases.
SupportBranch governancecommunicationand volunteer processesincluding volunteer onboardingexitand recognitionprocesses.
Provide administrative support for Governance events e.g branch AGMs and elections
Support Governancereportingprocesses
Support implementation of Governance Reform and restructure activityas appropriate
Support development ofgovernance resourcesto support branch and non-branch roles
Experience:
Previousexperience of an administrativeoffice-basedroleideally ina governanceenvironmentand/or an internationalorganisation with hub and spoke global footprint.
A problem solverwithexcellent attention to detail whilst working independently
Strong verbal and written communication skills with the ability to listen and communicate effectively
Demonstrates strong organisational skills and effective time management
Experienced and skilled in Microsoft Office packages (Word Excel Outlook CRMPower BI)
Strong commitment to Equity Diversity and Inclusion fostering a collaborative environment amongst their team and the wider organisation
Experience within a membership organisationwould be an advantage.
Experience of use of a CRM MIS or EMR would be an advantage.
