We are seeking a highly organized resourceful and relationship-oriented Executive Assistant to provide comprehensive support to senior leadership. This role goes beyond traditional administrative responsibilities it plays a critical part in helping our leadership team operate at their best while also fostering a welcoming engaging environment that reflects our family-owned culture and community spirit.
This role will involve responsibilities divided between the Lauritzen Corporation a privately held bank holding company and FNBO with approximately 70% of the work dedicated to the Lauritzen Corporation and 30% to FNBO. The Lauritzen Corporation is separate from FNBO and benefits will vary.
About This Role:
Key Responsibilities:
- Executive Support: Manage calendars schedule meetings coordinate travel and prepare materials to ensure leaders are well-organized and set up for success.
- Meeting & Event Coordination: Plan and execute meetings events and gatherings that are both productive and thoughtfully run ensuring participants feel engaged and valued.
- Communication & Liaison: Serve as a point of contact between executives employees and external partners balancing professionalism with approachability.
- Office Atmosphere: Help create a warm and welcoming environment adding thoughtful touches that make the workplace feel connected approachable and even a little fun. This includes anticipating needs celebrating milestones and contributing to a culture where people enjoy showing up.
- Confidentiality & Judgment: Handle sensitive information with the highest level of discretion and professionalism.
- Project Support: Assist with special projects presentations and initiatives as directed by leadership.
- Regulatory and Compliance Support: Assist in compiling tracking and submitting required regulatory documents; Support audits examinations and regulatory reviews as needed.
- Board and Governance Support: Coordinate organize and distribute board materials including agendas reports presentations and supporting documentation; Schedule board meetings including logistics calendars meeting rooms and virtual meeting platforms; Maintain board books and ensure all materials are accurate and complete; Serve as a point of contact for board members regarding meeting logistics and document access.
- Team Coordination & Coverage: Work both independently and in close collaboration with the team of Executive Assistants to ensure smooth operations across the executive office.
The Ideal Candidate for This Role:
Qualifications:
- Proven experience as an executive assistant or in a similar high-level administrative role.
- Strong organizational skills with the ability to prioritize and manage multiple tasks.
- Excellent communication and interpersonal skills; able to interact effectively across all levels.
- Tech-savvy comfortable with Microsoft Office Outlook and other productivity tools.
- Demonstrated ability to exercise sound judgment and maintain confidentiality.
- A positive approachable presence that contributes to a welcoming and engaging work environment.
Success in This Role Looks Like:
- Executives are able to focus on leadership priorities because logistics and details are handled seamlessly.
- Employees and visitors feel a sense of warmth and hospitality when interacting with the executive office.
