About the Treaty Authority

The Treaty Authority is an independent entity with a mandate to facilitate the formation of treaties between the State of Victoria and First Peoples in Victoria.

The Treaty Authoritys work is grounded in Aboriginal culture Lore and Law and led collectively by a panel of five Members committed to Aboriginal self-determination and empowerment. It engages with a broad cross-section of stakeholders including the State of Victoria the First Peoples Assembly and Traditional Owners in Victoria. It plans to grow its team as it establishes and delivers its functions and Treaty negotiations develop.

The objects of the Treaty Authoritys work are to:

  • Facilitate the journey towards reconciliation mutual respect and tolerance between First Peoples and other people of the State and to
  • Maintain promote and advance the self-determination and empowerment culture and human rights of First Peoples.

About the Role

As Executive Assistant at the Treaty Authority youll play a pivotal role in supporting our historic and meaningful work. Reporting to the Executive Coordinator youll provide high-level support to two of our Members helping them focus on advancing the Treaty process with First Peoples.

This is a dynamic and rewarding position where no two days are the same. Youll manage complex diaries coordinate meetings and engagements and ensure travel and logistics run seamlessly. Youll prepare reports and correspondence capture important discussions in minutes and liaise with a wide range of stakeholders with professionalism confidentiality and care.

In this role your organisational expertise and attention to detail will directly contribute to the success of the Treaty Authoritys mission allowing you to make a real impact while thriving in a fast-paced and purposeful environment.

This is a permanent part-time position of 30.4 hours (0.8 FTE) you are welcome to spread the hours across either four or five days.

Key Duties:

  • Provide high-level support to Members including diary correspondence travel and meeting management
  • Coordinate events and engagements including scheduling catering and logistics
  • Manage invitations and competing priorities with professionalism and discretion
  • Draft and prepare reports business papers presentations and other documents
  • Maintain accurate records and information systems (electronic and hard copy)
  • Act as the first point of contact for stakeholders ensuring professional and confidential communication
  • Schedule and provide secretariat support for Member-led meetings including agendas minutes and action tracking
  • Monitor and follow up on meeting action items and deadlines
  • Support research project work and administrative workflows as required
  • Undertake ad hoc duties to support Members and organisational priorities

Selection Criteria:

  • Commitment to cultural awareness anti-racism and supporting reform that benefits First Peoples and all people in Victoria
  • Proven experience as an Executive Assistant providing high-level support to senior executives and governance roles.
  • Advanced diary email and travel management skills with proficiency in Outlook and MS Office (SharePoint desirable)
  • Highly organised proactive and able to manage competing priorities with accuracy confidentiality and attention to detail
  • Excellent written and verbal communication skills with the ability to problem-solve and build trusted relationships across diverse stakeholders
  • Background in governance and secretariat support including agendas minutes and action tracking
  • Demonstrated ability to work effectively in a fast-paced dynamic environment while remaining flexible and calm under pressure
  • Collaborative inclusive and team-oriented with a can-do attitude and continuous improvement mindset
  • Professional integrity in handling sensitive and confidential matters
