JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 3 oversees office operations and manages combined offices of the Associate Dean of Research Bioscience Research Department Chair as well as the Director of the Oral and Craniofacial Research Center.
ResponsibilitiesDUTIES AND RESPONSIBILITIES:
- Provides executive-level administrative support under limited supervision; sets and manages the daily schedule and calendar for the Interim Associate Dean of Research and acts as liaison between the college and external universities executive-level leadership faculty staff and research students.
- Works closely with Marketing and Communication on designing implementing editing and coordinating the development of promotional materials newsletters abstracts and posters for all scientific meetings.
- Reconciles all invoices accrues outstanding invoices collaborates with purchasing regarding purchase orders and ensures accuracy of items received or ordered.
- Collects and analyzes feedback from internal and external students faculty and universities to gauge satisfaction and success.
- Manages deadlines and progress across the team to ensure the process is on time and on budget.
- Manages all phases of the Annual National Hinman Student Research Symposium from project design to completion including contact with research leaders in Dental Schools across the USA and Canada internal and external faculty students distinguished guests and vendors.
- Provides specialized management support in the development implementation and promotion of the program.
- Manages all stages of the College of Dentistry Dental Student Research Award Program.
- Coordinate the onboarding of new faculty trainees and employees.
- Performs other duties as assigned.
QualificationsMINIMUM REQUIREMENTS:
EDUCATION:High School Diploma or GED.(TRANSCRIPT REQUIRED)
EXPERIENCE: Four (4) years of administrative experience; OR Associates Degree and two (2) years of administrative experience; OR Bachelors Degree in lieu of experience.
KNOWLEDGE SKILLS AND ABILITIES:
Ability to manage time and work on multiple tasks simultaneously.
Ability to work with little supervision and maintain confidentiality.
Excellent written and oral communication skills enabling interactions with faculty staff and students.
Demonstrated organizational management skills.
Ability to train employees including organizing prioritizing and scheduling work assignments.
Proficient with Microsoft Word Excel and PowerPoint.
Comfort and skill working with team members at institutions across the country.
