Job Summary

Job Summary:
The Service Coordinator will play a crucial role in supporting the daily operations of the Service Department. The main responsibilities in this role include assisting plumbing crews builders and clients with their requests for estimates repairs warranty and schedule coordination ensuring smooth workflow and effective communication between customers technicians and the addition to maintaining accurate and up-to-date records and documentation in the job management system. The ideal candidate will have experience in plumbing or a trade-related company exceptional analytical and organizational skills and a proactive approach to problem-solving to determine urgency of repairs and installations to coordinate schedules based on needs company processes and best practices. Individuals in this role must possess the ability to prioritize working in a fast-paced environment while handling multiple responsibilities simultaneously with accuracy.
Duties/Responsibilities:
  • Customer Service; provide customer service and manage requests through emails phone calls messages and voicemails. Check email for new leads and respond promptly to inquiries.
  • Scheduling and Dispatching; schedule and dispatch work orders efficiently to technicians and supervisors. Keep track of projects and schedules and communicate with clients or team members as needed. Manage inspections pull permits and coordinate subcontractors as needed.
  • Project coordination: coordinate builders and crews schedules. Schedule locates and inspections as needed to comply with projects requirements and deadlines. Manage inspections pull permits and coordinate subcontractors as needed ensuring compliance with local regulations and reporting project issues and follow up until resolved.
  • Administrative Support; process paperwork CODs and payments and balance daily transactions. File and maintain accurate records of processed paperwork. Document customer concerns and complaints to create accurate work orders.
  • Sales Order Management: manage converted sales orders ensuring all required documentation is prepared and processed.
  • Reporting and Documentation: enter and maintain up to date project notes and crews notes reflecting project needs and project status. Create accurate work orders. Print credit card reports for settled transactions from the previous day. Update and manage inspection spreadsheets ensuring all inspections are scheduled and tracked. Maintain detailed and accurate documentation for all service activities.
  • Manage communication: act as the primary liaison between builders and field crews ensuring clear and timely communication. Contact builders plumbing crews and clients to confirm job readiness for upcoming work and maintain daily communication with field crews to address scheduling or project issues.
  • Performs other duties as assigned.
Requirements:
  • A minimum of 2 years of proven experience in a related role in a trade company required
  • Familiarity with plumbing construction permits and inspection scheduling highly preferred
  • Proficiency in logistic scheduling techniques required
  • Excellent organizational analytical and problem-solving skills
  • Detail-oriented with a strong commitment to accuracy
  • Ability to work effectively and independently in a fast-paced deadline-driven environment
Physical Requirements:
This position requires prolonged periods sitting at a desk and working on a computer typing writing and analyzing data. Moving carrying and lifting equipment weighing up to 30 pounds. Moving throughout the building walking up and down stairs to perform daily tasks. Ability to safely and successfully perform the essential job functions with the ADA FMLA and other federal state and local standards including meeting qualitative and/or quantitative productivity standards. Ability to maintain regular punctual attendance consistent with the ADA FMLA and other federal state and local standards.
