Job Summary

Job Title: Front Office Administrator

Reporting to: GHR Sales Administrator

Location: Griffith Halls of Residence

Job Type: Full-Time / Permanent subject to 6 months probation


Job Summary:


Griffith Halls of Residence (GHR) is a large student accommodation provider on Griffith College campus that accommodates 662 residents. The residence is available to learners during the academic year and to visitors learners and the public during the summer months of June July and August.


Job Responsibilities:

Customer Service


  • Ensure the delivery of exceptional customer service and maintain a high level of professionalism consistently.
  • Identify and promptly escalate any issues that could affect customer satisfaction to the Sales Administrator and Manager.
  • Assist residents the general public and staff in resolving queries.
  • Manage phone and email inquiries directing clients appropriately.
  • Foster effective communication between departments to ensure accurate recording and timely resolution of resident queries.
  • Address and log resident concerns directing them to the relevant manager when necessary.
  • Uphold and promote community values providing ad hoc support and resolution as needed.

Administration


  • Execute front office administration duties at Griffith Halls of Residence including the daily audit of Community Value Reports with our Security Team.
  • Administer the room booking system ensuring accurate data entry and aiding in processing residential applications.
  • Conduct room checks and damage reporting when required maintaining associated records.
  • Manage essential Summer/AY processes including key issuance/return maintenance logging and daily task lists.
  • Monitor and report incidental charges for residents throughout their stay such as key replacements.

Health and Safety

  • Maintain awareness of current health and safety regulations applicable to GHR. 30
  • Ensure compliance with all safety measures particularly in relation to fire safety.
  • Undertake general health and safety duties.
  • Participate in First Aid Support Training and any other relevant training provided by management.

General

  • Demonstrate flexibility in work patterns with varying days of the week sometimes required especially during mid-June to mid-September where weekend work is required based on a shared rota.
  • Embrace and support technological changes assisting in their implementation and operation.
  • Perform any other duties within the employees capabilities as assigned by the Manager or a nominee.


Minimum Education / Experience Requirements:


  • Exceptional customer service skills.
  • Excellent interpersonal and communication skills.
  • Strong attention to detail.
  • Ability to work independently and as part of a team.
  • Demonstrated confidentiality and discretion to a high degree.
  • Legal entitlement to work in Ireland for any employer.
