Position Title: Central Office Associate

Pay Grade: 7 Period of Employment: 12 months

Description Approved/ Revised: 9/2019 FLSA Status: Non-Exempt

Supervised by and/or Reports to: Director of Public Communications

General Responsibilities: Greets visitors in the main office provides information to guests and employees operates the central telephone switchboard and assists with a variety of responsibilities including clerical support.

Essential Duties:

  • Serves as receptionist; operates multi-line telephone system to receive incoming Central Office calls and messages; greets students parents staff and the public; answers and refers telephone and in-person inquiries; directs patrons to destinations; takes messages.
  • Promotes positive public relations for Manassas City Public Schools.
  • Answers questions regarding general information to the public and employees of Manassas City Public Schools.
  • Assists with maintaining the online division calendar.
  • Updates and distributes school directories annually and as needed.
  • Coordinates the dissemination of outside materials in the schools.
  • Provides clerical support/assistance for the Communications Department; produces documents and written material such as letters and memos accurately and neatly utilizing office software.
  • Uses Excel to create tracking spreadsheets for various projects.
  • Aids parents of new students in identifying which school their child should attend by using the Transportation Departments web query.
  • Logs incoming and outgoing deliveries.
  • Enters maintenance work orders for Central Office location.
  • Enforces security by ensuring all visitors sign in and out.
  • Performs other duties as assigned.

Requisite Knowledge Skills and Abilities:

  • Skilled in use of multi-line telephone systems proper phone etiquette and procedures.
  • Excellent public relations/customer service skills.
  • Excellent oral and written communication skills.
  • Able to perform work independently and with accuracy.
  • Proven organizational skills.
  • Able to relate and work with a variety of people and their needs and respond appropriately under pressure.
  • Able to operate standard office equipment.
  • Experience in handling confidential information.
  • Able to work effectively under minimal supervision.
  • Serve as role model.

Requisite Education and Experience:

  • Must possess a high school diploma or equivalent; Associates degree preferred.
  • Proven clerical and/or administrative experience

Physical Requirements:

Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see read talk hear handle or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment such as but not limited to: a personal computer calculator copier and fax machine. Some climbing stooping kneeling crouching reaching standing walking pushing pulling lifting grasping or repetitive motions required.
