Whats the day to day like

As the People & Office Coordinator you sit at the intersection of people process and environment making sure the business runs smoothly standards stay high and nothing falls through the cracks.

On any given week you might be coordinating onboarding for a new team member tightening documentation so knowledge is centralised and accessible organising a Brekky & Learn session or making sure the office is kept nice and tidy. Youre obsessed with operational clarity and you notice whats missing before it becomes a problem.

At its core this is a hands-on execution role with real impact. Youll help professionalise how Eva runs internally from people processes to office operations while supporting leaders to create clearer expectations and better growth pathways across the team.

This role suits someone who likes building structure improving processes and making sure things get done properly.

What youll be doing
Founder & Admin Support

  • Provide administrative support to founders (travel logistics scheduling events and offsites)
  • Maintain clear documentation across business processes and policies

Office Operations

  • Oversee day-to-day office management including liaising with building management and cleaners.
  • Manage office supplies and ensure essentials are consistently maintained (coffee kitchen bathroom consumables)
  • Identify and implement practical office improvements
  • Ensure the office remains a space the team is proud to work in

People Operations

  • Support onboarding and offboarding processes
  • Support department leads in coordinating review cycles maintaining and tracking performance review schedules
  • Track and follow up on leave submissions (annual sick public holidays)
  • Help systemise development and growth pathways to support department leads in driving stretch and progression within roles

Note: This role does not manage payroll.

Culture & Engagement

  • Coordinate team bonding initiatives and informal social events
  • Support wellness initiatives where appropriate (e.g. monthly birthday celebrations)
  • Execute professional development initiatives (e.g. Brekky & Learns)
  • Ensure engagement initiatives are structured consistent and sustainable

Finance & Administration Support

  • Follow up on outstanding expense claims and receipts
  • Respond to invoice payment status queries
  • Manage company software subscriptions and platforms
  • Ensure administrative systems remain organised and compliant with accurate billing records.


Requirements

What you look like:

  • 2 years in operations office management people ops or executive support
  • Highly organised with strong attention to detail
  • Proactive and comfortable taking ownership
  • Systems-oriented - enjoys creating order from ambiguity
  • Strong written communication skills
  • Confident working across multiple stakeholders
  • Comfortable operating in a growing fast-moving environment
