The Integrated Resources - Finance team has an exciting opportunity for two Procurement Shared Services Supervisors (Shared Services Supervisor (E S SEIU 925 Supv)).

University of Washington (UW) School of Medicine (SoM)s Integrated Resources - Finance team was established in June 2023 with the launch of Workday Finance. The model centralizes finance functions to enhance efficiency ensure compliance and streamline operations. The mission of Integrated Resources - Finance is to standardize financial processes to ensure compliance drive efficiency and effectiveness and deliver high-quality reliable financial services. By continuously improving service delivery data accuracy and stakeholder responsiveness Integrated Resources - Finance supports SoMs mission to improve the health of the public.

The Procurement pod enters and processes procurement-related transactions including monitoring and troubleshooting outstanding invoices and credit holds and completes compliance reviews to ensure accuracy and compliance with applicable policies.

The Shared Services Supervisor is responsible for overseeing Analysts and Specialists providing mentorship ensuring operational excellence and promoting compliance with University State and Federal financial requirements. The Shared Services Supervisor plays a critical role in optimizing processes supporting continuous improvement initiatives and ensuring reliable high-quality service delivery for departments across the SoM.

DUTIES AND RESPONSBILITIES

Daily Operations Management and Team Supervision (50%)

  • Directly supervise Analysts and Specialists including hiring training workload assignment performance evaluation and development and monitoring of key performance indicators.
  • Ensure Analysts and Specialists maintain expertise in compliance policies workflow processes and system functionality by leading team trainings.
  • Manage daily oversight of financial transaction processing ensuring accuracy timeliness and compliance with policies.
  • Coordinate schedules assignments and priorities to meet service delivery metrics.

Compliance Oversight and Transaction Support (35%)

  • Act as the primary escalation contact for non-routine transactions. Evaluate escalations for accuracy compliance with policies and potential risks. Provide training and education to departments on procedural requirements and relevant policies.
  • Collaborate with Manager and Director to prepare for audits.
  • Interpret complex University State and Federal financial regulations for staff and departments and maintain expertise in assigned functional area.
  • Participate in SoM-wide trainings by contributing subject matter expertise in functional area.

Continuous Improvement and Strategic Initiatives (15%)

  • Oversee improvement initiatives to optimize transaction processes and enhance service delivery within the team.
  • Collaborate with Directors Pod Managers and Partnership Team to align shared services operations with institutional financial goals.
  • Identify trends in transaction errors or process breakdowns and develop solutions to reduce recurrence.
  • Lead the implementation of updated SOPs workflows and documentation templates.

MINIMUM REQUIREMENTS

  • Bachelors Degree and two years of work experience in fiscal accounting or payroll operations.
  • Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements such as a license certification and/or registration.

DESIRED QUALIFICATIONS

  • Experience with University of Washington financial systems policies and procedures.
  • Demonstrated ability to lead a high-performing team in a fast-paced high-volume environment.
  • Strong analytical skills and experience interpreting complex regulations.
  • Proven track record of implementing process improvements in financial operations.
  • Excellent communication skills with the ability to explain compliance and transactional information to a variety of audiences.

Compensation Benefits and Position Details

Pay Range Minimum:

$63468.00 annual

Pay Range Maximum:

$85356.00 annual
