The creation of the HHC System Support Office recognizes the work of a large and growing group of employees whose responsibilities are continually evolving so that we and our departments now work on behalf of the system as a whole rather than a single member organization.
With the creation of our new umbrella organization we now have our own identity with a unique payroll benefits performance management system service recognition programs and other common practices across the system.
Department Description:
The Hartford HealthCare Executive Services Department provides support to senior leadership in the System Support Office of Hartford HealthCare. The department schedules and manages the calendars of 17 executive staff members provides meeting materials travel and expense reimbursements and other support as needed. The department also provides coverage of the front desk answers the main telephone line greets customers/visitors manages the conference rooms and maintains supplies for the kitchens and office.
Job Summary:
As part of the central scheduling function of the executive services support model at the System Support Office at State Street the primary responsibility of the Administrative Associate III-Scheduler is to schedule meetings for multiple Executives and Vice Presidents including calendar management booking conference rooms and interaction with internal and external customers to facilitate scheduling. Covers the receptionist desk daily as necessary. Other responsibilities include preparing reimbursements processing invoices stocking supply room with office supplies setting up conference room technology when necessary and other administrative duties as required.
Key Areas of Responsibility:
- Scheduling meetings for Executives (including calendar management contacting other assistants or external customers booking conference rooms adding travel time when necessary etc.)
- Covering the receptionist desk (including stocking pantries sorting mail answering a high volume of calls greeting customers etc.)
- Preparing reimbursements and making travel arrangements (hotel airfare) for Executives (business trips & mileage)
- Making copies of CEO Cabinet Executive Leadership Team Business Unit Reviews or other material as necessary for Executives
- Processing various invoices
- Preparing and Scheduling Interactive Leadership Rounding
- Assisting with HHC Board and committee preparation (making copies preparing conference rooms and assisting Team Lead as necessary)
- Setting up conference room technology/VMR for meetings
- Drafting agendas and other materials
- Stocking the copy room with office supplies
- Managing distribution lists (adding deleting or transferring employees from various distribution lists)
- Creating standard work
Education:High school or associatedegree or equivalent. Bachelors preferred.
Experience:Advanced knowledge of Microsoft Office withproficiency in Outlook. At least one year of Administrative office experience
Knowledge Skills and AbilityRequirements:
- Excellent communication skills both verbal and written; strong organizational skills ability to multi-task and prioritize work.
- High degree of confidentiality.
