Role Summary
Job summary You will provide a mixture of operational and administrative services to help ensure the Murray Learning Centre accommodation and reception remains suitable for core activities (e.g. teaching research administrative support services health and safety environmental awareness and events management). In order to flexibly use resource you may be given the opportunity to work in different areas of the department or wider University.

Main Duties
Provide front-of-house reception support including handling general queries documenting lost property records arranging for periodic lost property collection by Security documenting regular headcounts of building users and conducting routine safety patrols and checks throughout the building (verifying the security of windows and doors and ensuring maglocks/swipe access systems are functioning correctly).
Assist with reporting repair requests including the daily monitoring of a Facilities Helpdesk checking the urgency of each request and reporting to the relevant department for action. This will involve providing additional information and support to colleagues and contractors once a repair has been authorised.
To maintain and reset the furniture in teaching rooms to match the published layout.
Check the fabric AV and IT of all our teaching and meeting spaces to the frequency standard of the currently agreed Service Level Agreement Page 2 of 3
Receive and deal with requests for changes (e.g. shelving noticeboards) liaising with building users Estates and other key service providers raising orders and checking invoices as appropriate.
Issuing planned schedule of works from Estates to internal customers or arranging day to day maintenance activity to be carried out in liaison with Estates as required.
Carry out regular fire safety checks including ensuring firefighting equipment is present and undisturbed and inspecting alarm and fire panel systems for faults reporting any irregularities promptly and appropriately.
As directed take on health and safety roles to assist the team such as acting as a first aider or undertaking legionella flushing and keeping health and safety records (e.g. generic emergency evacuation plans).
If required carry out Housekeeping tasks such as kitchen cleaning topping up sanitiser units emptying bins laying out meeting rooms providing and clearing away catering items low level cleaning carrying out sustainability tasks such as reviewing lights left on turning off items which use electricity clearing away waste into the correct recycling bins.
Log and report any health and safety issues incidents or thefts to the Line Manager and University Security.
Report and respond appropriately to suspicious behaviour; check ID of unfamiliar individuals and take appropriate action.
Complete and hand over daily reports noting any building issues incidents or actions taken.
Monitor building printers loading paper resolving jams and logging faults where required.
Manage the Facilities Team stores maintaining an inventory of items and restocking as necessary.
Assist other teams in LRAT for instance in delivering equipment to site or by steadying step ladders.
Assist the line manager in the audit and issue of keys for all buildings.
Arrange collection of small-scale confidential shredding through Portering and Environmental Services if required in your area.
Assist the Facilities Manager with projects and other reasonable requirements.

Person Specification
GCSE English and Mathematics or equivalent level 1 qualifications.
Good organisational skills and a proactive approach to tasks.
Able to work under pressure and to deadlines.
Ability to work as a member of a team.
Ability to make decisions within constraints of the role.
Good communication skills both written and verbal with a customer-focused attitude.
Experience in the use of software packages (e.g. Word Excel Outlook Teams and ideally PowerPoint and Access) demonstrating the ability to learn in-house applications.
Ability to move equipment with the use of a trolley where appropriate.
Positive flexible enthusiastic and pleasant manner.
Basic knowledge of Health and Safety Legislation.
Ability to learn and understand how diversity considerations affect own area (eg dietary requirements/dress code).
The post holder may occasionally be required to work early mornings evenings and weekends for which overtime or time off in lieu will be granted.
