We have an exciting new opportunity for an organised and detail-oriented Events Assistant to join our team in Salford Quays. In this role you will provide essential support to our team helping to coordinate organise and execute a variety of events. The ideal candidate will be proactive efficient and committed to ensuring every event runs smoothly from conception to completion. You will work collaboratively with team members vendors and stakeholders to deliver professional and memorable events.
Key responsibilities of the role:
Events
- Assist the events team with in-person event preparation including venue selection maintaining delegate lists making up name badges printing and goody bag preparation.
- Prepare and maintain event documentation including checklists timelines budgets and attendee lists.
- Support follow up processes post event with every event including sales team data distribution delegate follow up and internal reporting.
- Ensure compliance reviews and sign-off is carried out diligently.
- Prepare and issue CPD certificates.
- Create Purchase Order and manage invoice payments.
- Maintain regional pages for the business development team to ensure frequent tie-ins with communications and social media.
- Build strong relationships with the marketing team and work proactively with colleagues in the wider business to ensure all content published is quality checked and appropriate for publication.
- Embrace AJ Bells guiding principles and corporate guidelines in your way of working ensuring communications are accurate clear and not misleading to our customers and advisers.
- Perform post-event tasks including data entry feedback collection and venue closeout
- Provide administrative support to the events team including scheduling correspondence and file management
- Identify and implement process improvements to enhance event efficiency and attendee experience
Communications
- Collate event information to distribute to the communications team for preparation of event emails.
- Communicate with advisers to provide event information and follow up.
- Support and enable the business to achieve its regulatory requirements including consumer duty.
Social Media
- Collate event information to distribute to the communications team for preparation of social media posts to use across our various media channels.
- Help to generate initiatives to growing event brands through social media accounts.
- Use of social media to strengthen relationships with third party fund groups.
Webinars
- Set-up Webinar registration pages.
- Plan and set up recordings with speakers.
- Ensure edits with our in-house designers are carried out in a timely manner.
- Monitor webinars in progress and support delegate queries.
- Keep accurate data for webinar users.
- Provide internal reporting including CRM data to the sales team.
Awards
- Assist the event manager with keeping an accurate schedule of awards.
- Work with the PR team to capture opportunities for all industry awards.
Reports
- Analysing and preparing competitor reports.
- Assisting in the production of our customer and adviser research.
What were looking for:
- Previous Event experience is preferred.
- Excellent time management and organisational skills.
- Full UK driving licence is highly desirable for travel to events.
- Solid experience of using the Microsoft suite.
- Experience with social media platforms LinkedIn and Twitter on a professional basis.
- A strong desire to develop skill sets within key marketing channels and disciplines.
- Brilliant team-working skills.
- Strong communication skills.
- The ability to take the initiative and work independently where necessary.
- Strong attention to detail.
