Job Description
The Executive Secretary at Panno Realty plays a crucial role in providing high-level administrative and organizational support to the Managing Director and senior leadership team. This individual must possess excellent communication skills discretion strong organizational abilities and the capacity to manage multiple priorities in a fast-paced real estate environment.
Key Responsibilities:
Administrative Support:
- Provide comprehensive secretarial and administrative support to the Managing Director and senior executives.
- Manage calendars schedule appointments meetings and property viewings.
- Prepare and edit correspondence reports presentations and meeting minutes.
- Screen and prioritize incoming calls emails and correspondence.
Real Estate Coordination:
- Assist in coordinating property listings documentation and client communications.
- Maintain organized records of property files contracts leases agreements.
- Liaise with clients real estate agents legal teams and vendors.
- Track deadlines related to transactions closings and compliance requirements.
Office Management:
- Ensure smooth day-to-day office operations.
- Maintain filing systems (physical and digital).
- Order office supplies and coordinate with service providers.
- Support onboarding of new staff members when required.
Meeting & Event Coordination:
- Organize internal meetings board meetings and client presentations.
- Prepare meeting agendas and record minutes.
- Coordinate logistics for property launches and promotional events.
Qualifications & Requirements:
- Proven experience as an Executive Secretary Executive Assistant or similar role .
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
- Familiarity with real estate documentation and terminology is an advantage.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- High level of professionalism and confidentiality.
