ABOUT THE POSITION:
The position is responsible for performing varied administrative tasks with the aim of supporting the administrative and operational processes and the department.
Result areas:
- Handling processing and following up incoming and outgoing information/documents/(numerical) data with the aim of ensuring their correct handling.
- Maintaining the administration.
- Follow-up of actions.
- Performing support and administrative tasks with the aim of providing support to employees.
- Administrative support of the service
- Responsible for administrative tasks processing of digital and non-digital data and documents with the aim of providing support to the department.
- To be responsible for the management of the services documents and files with the aim of supporting the service administratively.
- Keeping information/documents/data up to date (e.g. through systems programs and databases) with the aim of always having the most recent information available and ensuring correct reporting on this.
- Entering data into systems.
- Keeping certain databases up to date.
- Conducting research within your own professional domain consulting internal/external sources where necessary and requesting data/information from internal/external sources with the aim of correctly answering questions and providing accurate information.
- Informing internal/external partners with questions/problems.
- Finding and completing missing data.
General administrative support for the HR department including:
- Managing and monitoring (electronic) personnel files
- Drafting handling and processing documents
- Administrative support for entering and leaving employment
- Reception of new employees
- Processing absences (illness leave time credit parental leave)
- Tracking and correcting time registration and performance
- Answering employee questions about HR-related topics
- Ensuring correct application of internal procedures and agreements
- Generating reports from HR systems
- Keeping HR systems up to date
Skills:
- Strong administrative and organizational skills
- Discreet and respect for confidentiality
- Being able to work accurately and in a structured manner
- Good communication skills
- Customer and service oriented
- Stress-resistant and flexible
- Ability to work independently and in a team
- Good knowledge of MS Office (Excel Word Outlook)
- Experience with HR software and/or within an HR environment is a plus
