Job Summary
The Executive Assistant provides high-level administrative and operational support to the Executive Director ensuring the efficient management of daily activities strategic priorities and cross-functional initiatives. The role requires strong organizational skills discretion and the ability to manage multiple responsibilities in a fast-paced environment.
Job Responsibilities
- Manage the Executive Directors calendar appointments and meeting schedules.
- Prepare agendas briefing materials presentations and reports for executive meetings.
- Draft review and proofread correspondence emails and official documents.
- Coordinate travel arrangements accommodation and related logistics.
- Maintain confidential files records and documentation securely.
- Schedule and coordinate meetings with internal departments and external stakeholders.
- Attend meetings when required record minutes and follow up on action items.
- Act as a liaison between the Executive Director and internal/external parties ensuring timely communication and information flow.
- Track projects and follow up on tasks assigned by the Executive Director.
- Support cross-department initiatives and special projects.
- Assist in planning and executing strategic and operational initiatives.
- Coordinate logistics for corporate events executive workshops and management meetings.
Requirements
- Bachelors degree preferably in Finance or a related field.
- 35 years of experience as an Executive Assistant or in a similar role supporting senior leadership.
- Native Arabic speaker with excellent written and verbal communication skills in English.
- Strong organizational multitasking and time management skills.
- High level of discretion integrity and professionalism in handling confidential information.
- Proficiency in MS Office Suite (Word Excel Outlook PowerPoint).
- Ability to work proactively prioritize tasks and meet deadlines.
- Strong interpersonal skills with the ability to liaise effectively with senior management and external stakeholders.
- Solid knowledge of executive calendar management business correspondence meeting coordination minute-taking presentation preparation and project tracking.
