Job Summary

The Coordinator of Membership and Community Engagement administers the museums stewardship program identifies and implements strategies to manage and grow membership migrates members to increased levels of support organizes member and donor events and in partnership with the OU Foundation may assist in coordinating philanthropic initiatives developing innovative strategies to generate increased annual gifts sponsorships and partnerships and developing and writing grant applications to achieve sponsorship partnership and annual and/or strategic goals and institutional priorities.

In partnership with the OU Foundation they are responsible for building a culture of philanthropy at the Museum and broadening and diversifying the museums base of supporters. They will be a strategic creative thinker and committed to and enthusiastic about natural and cultural history and have a demonstrated ability to work collegially with the Director Board members OU Foundation members other stakeholders and work within a team environment. The Coordinator of Membership and Community Engagement reports to the Assistant Director.

Duties included:

  • Responsible for coordinating membership administration and services.
  • Communicating membership information about services and accounts in person or via electronics telephone mail or written correspondence to members and prospective members.
  • Maintaining and updating the membership database generating reports as needed to reflect member retention and recruitment goals.
  • Processing new memberships and renewals including the billing collection and processing of payments.
  • Assisting in the retention and recruitment efforts to ensure membership goals are met.
  • Assisting in coordinating events.
  • Preparing and distributing membership communications including newsletters and program communications and announcements.
  • Advising on ways to improve membership satisfaction. Duties included:
  • Performing various duties as needed to successfully fulfill the function of the position.

Required Education and Experience: Bachelors degree AND:

  • 12 months of relevant experience

Equivalency/Substitution: Will accept 48 months of related experience in lieu of the Bachelors degree for a total of 60 months.

Skills:

  • Detail oriented for accuracy of data and information.
  • Able to communicate and build rapport quickly with members and donors students faculty and staff.
  • Able to produce reports and complete work within deadlines.
  • Able to work well with interdepartmental teams and initiatives.

Working Conditions:

  • Physical: Ability to engage in repetitive motion and communicate effectively.
  • Environmental: Standard office environment.

Department Preferences:

  • Bachelors degree in communications Marketing Business or a related field.
  • Experience in member stewardship for a museum or other membership-based organization grant or professional writing or community philanthropic initiatives working in a museum nonprofit cultural educational or similar public institution.
  • Experience in developing effective and persuasive print and digital membership sponsorship and gift marketing and communication assets that articulate the mission and programs.
  • Experience using resources to identify grant-making prospects and funding opportunities and demonstrated success in developing and writing grants proposals and applications and in securing grants and contributed support from various constituencies including existing and potential members sponsors donors and community partners.
  • Experience in networking interpersonal and relationship-building and the ability to collaborate effectively and develop relationships with members donors prospects and stakeholders.
  • Experience with nonprofit donor management/customer relationship management software and basic nonprofit finance and accounting including knowledge of at least one fundraising database.
  • Experience with Blackbaud Altru Microsoft Office programs especially Teams Office 365 and knowledge of ability platforms such as Zoom Google Drive Adobe Creative Suite Constant Contact SurveyMonkey and others.

Supervision:

  • May supervise temporary staff students and/or volunteers including recruitment mentoring performance management training and coaching.
