Job Title: Production Assistant
Reports to: Communications Officer

Primary Purpose:
Organize and manage the routine work activities of the community relations office and community partnerships office. Provide clerical services to the communications officer and other staff members.
Qualifications:
Education/Certification: High school diploma or GED required. Bachelors degree preferred.
Special Knowledge/Skills:
Proficient skills in keyboarding word processing and file maintenance Effective organizational communication and interpersonal skills
Ability to use personal computer and software
Possess the ability to interpret and explain directives affecting administrative procedures within the district Good communication skills
Good customer service skills
Experience:
Three years of secretarial experience preferably in a public education environment
Responsibilities:
Publications
- Create & design a weekly newsletter for Community Relations and a monthly newsletter for Community Partnerships
- Coordinate and direct all printing publishing and binding of district publications
- Produce all certificates for board meetings
- Coordinate design produce and distribute district-wide events calendar
Bookkeeping/Accounting
- Manage all incoming and outgoing expenditures
- Oversee Community Relations and Community Partnerships accounts
- Monitor account code balances and submit appropriate transfer requests as needed
- Assist with the preparation of purchase orders and payment authorizations
- Solicit quotes from vendors for office purchases
Clerical
- Prepare correspondence forms reports etc. for the supervisor
- Maintain physical and computerized departmental files
- Process correspondence with limited direction; receive and review mail and make necessary distribution to other departments
- Generate and submit timely purchases of necessary supplies for office operations
- Prepare travel documents for the supervisor and other members of the department
- Attend and assist supervisor with meetings as needed
Community Partnerships
- Serve as a liaison between the Community Partnerships Coordinator and the PIE Campus Coordinators
- Provide training for PIE Campus Coordinators and work with campus personnel to ensure campus programs are executed successfully
- Seek new partners and mentors and conduct orientation for interested
- Manage background checks for all district volunteers
- Write and distribute monthly Community Partnerships
- Assist PIE Campus Coordinators with donation reports and assist Community Partnerships Coordinator with annual
- Assist Community Partnerships Coordinator with PIE Advisory Board meetings and PIE social media accounts.
- Assist Community Partnerships Coordinator with planning Principal for a Day and the PIE Recognition Banquet.
Event Coordination
- Determine and schedule event locations and times
- Assist with the development of event themes
- Assist with set up and clean up
- Purchase supplies
- Plan menu and communicate with caterers
- Collect and maintain the RSVP list
Other
- Maintain strict confidentiality and loyalty to supervisor(s) and
- Accept responsibility for making job-related judgments and decisions on routine
- Respond to routine inquiries; refer appropriate inquiries to the communications
- Assist in Community Partnerships office: data entry oversee budget assist in
- Promote goodwill and effective public
- Other duties as assigned
